The post holder will be responsible for providing a comprehensive, wide ranging, high quality administrative support to the General Surgery Department.

Duties will include general junior secretarial services,

typing and checking of patient letters using the hospital systems, assisting in the maintenance and development of effective information systems and support the continuance of high standards of professional practice throughout the Department.

In addition to these on-going duties, the post holder will be required to perform ad-hoc tasks as required to fulfill both departmental and trust objectives.

The post holder will be expected to exercise initiative, prioritise conflicting work demands and
effectively communicate verbally and in writing with the consultants, multi-disciplinary team, internal departments and external agencies to ensure continuity in achieving excellence in patient
care.

  • Compose letters for dispatch
  • Ensure that all daily tasks and ongoing workloads are prioritised and completed within agreed time frames.
  • Provide a comprehensive secretarial service to the agreed individual's, ensuring confidentiality at all times
  • Maintain/develop both manual and electronic general filing systems on behalf of your manager
  • Any other general secretarial duties to support the departments objectives.
  • Assist other secretaries as required.
  • To undertake any other duties and responsibilities as required.
  • Manage and answer telephone calls related to the service, ensuring that queries are dealt with in a sensitive and effective manner and problems are promptly and efficiently resolved
  • Receive and action telephone calls as appropriate, liaising with other members of staff, outside agencies and members of the public.
  • The post holder is required to follow Trust Values, policies and procedures which are regularly updated.
  • The post holder will ensure acceptable standards of data protection are maintained in accordance with the Data Protection Act and will comply with all Trust Policies and Departmental policies and procedures.
  • In carrying out the duties of the post, the employee is required to work in accordance with the policies and procedures of King's College Hospital, including Health and Safety, confidentiality, data protection and equal opportunities. King's College Hospital operates a no smoking policy.
