PE Global is currently recruiting a Course Admin Assistant for a 12-month contract role with a leading pharma client based in High Wycombe.

The role


The role will support scheduling brand academy courses and HEMAR academy courses for 2023 as well as scheduling for 2024 courses.

These academies have approx. 800 total registrations in year.


Responsibilities

  • Setup Session in LMS.
  • Track registrations in LMS, lookup details of registered participants in JJEDs, copy details.
  • Registration Sheet and update Reg. Numbers on Overview Schedule.
  • Send Outlook Calendar Blocker to each participant on registration.
  • Track those who decline their calendar blockers, ask them to confirm if they want to cancel and if so cancel in SUMMIT.
  • Track Cancellations in SUMMIT and mark as cancelled in sheet.
  • Manage registrations and messages incl. creating new templates if firsttime virtual.
  • Tracking participant attendance and marking in SUMMIT.
  • Possibly prework to send out (for some of the courses).
  • Create Survey Link for Post Program Evaluation and send to attended participants.
  • Check Post Program Evaluation Completions before deadline and send reminder to complete with extended deadline.
  • Create Survey Evaluation Report and Distribute to agreed recipients.
  • Update excel reports required to track attendance, late cancellations, normal cancellations and noshows.
  • Check registered participants if they are entitled to participate if not sure highlight with Program Manager.

Requirements:


  • Strong experience working in admin positions.
  • Previous experience in training event management: Planning, logistics, venue sourcing and communication.
  • Handson and equipped at handling daytoday operational tasks.
  • Experience in using Learning Management Systems (LMS) and developing reports as required.
  • Strong organizational skills and use of tools in managing events, including tracking registrations with attention to detail.
  • Multitasking and ensuring delivery of training events in timely manner.
  • Strong expertise in Marketing: creation, sign off and distribution of documents for events, database management.
  • Fluency in written and spoken English.
