The CTPSE Finance Team are looking to recruit a Finance Administrator to work in a small team providing Financial and Business Support services to the Regional Unit.

Day to day responsibility will primarily be around the Procurement function which will entail managing Business Travel (Hotel Bookings, Rail travel, Flights etc), raising Purchases Orders for supplies and services across all areas of the business, reconciling Invoices, and Financial Support Services (e.g.

Petty Cash, Overseas Travel Allowances etc)


Responsibilities:


Finance Focus:

  • Process, check and collate up to the point of certification all financial paperwork and review records on various computerised systems for accuracy, ensuring compliance with force policy and financial regulations meeting financial deadlines.
  • Manage the maintenance of systems necessary to control financial matters and to ensure that the records and assets are kept up to date and in accordance with financial regulations.
  • Operate the imprest account on CTPSE, ensuring all payments meet financial and audit regulations.
  • Administer all systems arising from sundry debtors and local orders ensuring all policies and procedures are dealt with in an appropriate manner.

Procurement Focus:

  • Provide advice and guidance regarding travel and accommodation requirements, utilising systems to book authorised requests for flights, hire cars, hotels, catering and courses.
  • Act as main point of contact for procurement, utilising systems to order equipment, furniture and stationary as required, ensuring customer requirements are being met within the constraints of the finance available.

Required knowledge/skills:


Essential:

  • Good standard of education including excellent numeracy and literacy skills.
  • Recent experience in a similar financial/procurement role.
  • High level of integrity and accuracy.
  • Good interpersonal and communication skills to enable post holder to interact effectively with staff, customers, senior management and suppliers.
  • Proven decision making skills and ability to work on own initiative. Able to demonstrate ability to monitor, maintain and improve existing working practices.
  • Ability to understand, communicate and manage priorities, with flexibility to reprioritise when required in order to meet deadlines.
  • Proven experience of using relevant IT systems and ability to learn new systems.

Desirable:

  • Qualified/working towards a BTEC Diploma in Business Administration at level 2/3 or equivalent.
