Purpose:

To provide a first-class administrative service to the People & Sustainability function, colleagues, and stakeholders as applicable. With a key focus on moments that matter, enablement of self-service and digitisation of processes where possible.

This role is a key part of a credible high-performing team that is known to be right first time with all responses.


The Role:


  • Carry out a broad range of general administrative duties in order to assist the smooth running of the department in an efficient, effective, proactive, accurate and timely fashion.
  • Easy to do business with and provide up to date information that is right first time.
  • Provide and maintain relevant information for key stakeholders in different formats, for example provision of toolkits and updating the Tunnel to promote selfservice where possible.
  • Work closely with our Talent Team to support the new starter process ensuring a smooth transition from job offer through to joining the Club.
  • Complete the administration associated with new starters to the Company e.g., issuing of offer packs and coordinating all reference checks, including effective monitoring and maintenance of ETW.
  • Undertake the referencing procedure for new starters with the Company and respond to reference requests from exemployees as required.
  • Process all payroll paperwork as necessary, i.e., starters, leavers, and amendments in line with relevant deadlines and SLA's, managing expectations of stakeholders accordingly.
  • Maintain and manage all company benefits; liaising with third party benefit providers to ensure all data is accurate and aligned for a smooth colleague journey whilst ensuring up to date base knowledge to manage day to day queries effectively.
  • Be proactive and responsible for seeing all queries through to resolution in a welltimed manner.
  • Actively problem solve and identify areas for improvement making proposed solutions for positive change as applicable, taking ownership for this in own area of responsibility.
  • Offboard all relevant colleagues in line with SOx requirements, working closely with Payroll and IT as necessary.
  • Be responsible for the maintenance of all personnel records ensuring information is filed correctly, accurately, in realtime and in line with GDPR.
  • Maintain the People Services owned Inboxes, responding to enquiries in line with agreed SLA's.
  • Answer People administration queries over the phone and face to face with a high level of professionalism.
  • Answer routine questions relating to People policies and procedures and where necessary refer the query to another member of the People & Sustainability team as relevant.
  • Responsible for the administration and support of People employee initiatives that are in place from time to time.
  • Assist in the administration and coordination of United Performance process as applicable.
  • Assist Talent, Learning & Development in businessasusual administration as required, for example compliance elearning.
  • Produce reports and departmental KPIs as and when required, including accurate and timely completion of monthly Finance Reports.
  • Set up new starters on relevant systems and work in conjunction with People Systems & MI Lead to maintain all relevant systems
  • Maintain confidentiality and adhere to GDPR at all times.
  • Ensure compliance with all Audit requirements, supporting internal and external audits as applicable.
  • Must ensure all activity is processed in line with relevant Delegated Authorities and SOx compliance.
  • Assist People & Sustainability team as necessary with any People & Sustainability related projects being undertaken.
  • Identify and meet the needs of key stakeholders focusing on initiating and welcoming contact and communication whilst striving to deliver a firstclass PS admin service.
  • Work in partnership with relevant key stakeholders, namely Finance, Payroll, IT and Security to ensure seamless operation.
  • Recognise potential complaint situations and make effective steps to avoid and/or resolve these situations, escalating to the People Services Team Leader/Head of People Services as necessary.
  • Ensure effective communication within the People & Sustainability team and actively offer support and guidance as necessary.
  • Multiskilled; may have ownership of relevant workstream(s) but have general proficiency in all areas of PS Admin constantly looking for continuous improvement in all that we do.
  • Undertake any necessary internal or external training sessions and take personal responsibility for selfdevelopment to realise own potential.
  • Work on any projects as agreed by the People Services Team Leader or Head of People Services.
  • Undertake any other duties as may be reasonably assigned by the People Services Team Leader, Head of People Services, or members of Executive Management from time to time.
