The role of the Office Coordinator is to provide proactive support to the Office Manager, ensuring efficient office operations and adding maximum value to the organization, taking care of office maintenance, functionality, supplies and the physical work environment.

The Office Coordinator provides a high level of service and support to employees and external guests alike and assists the Office Manager in planning social events for the entire office.

This role will suit someone who is very social and likes to meet new people. Office coordinators are the first to meet & greet colleagues and visitors at the reception. We interact with various employees in every department.


No two days are the same here - the tasks may vary all the time and often depend on our colleagues and the business needs.

This role would suit someone who is a team player, who is self-motivated, structured, well organized, proactive and an exceptional multitasker.


What you'll be doing:


  • Hospitality: responsible for the reception; greeting guests, managing incoming and outgoing post and calls, coordinating meeting rooms and serving as first point of contact for any officerelated practical issues
  • Office Coordination: daytoday coordination with the lunch deliveries, couriers, office vendors and the building management. Managing all office supplies and access to the office building
  • Office events: supports the Office Manager in organizing annual office events, such as the summer and Christmas celebrations organising of Friday bars and supporting any other adhoc events taking place in the office
  • Leveraging office vendor discounts to the benefit of employees and departments: assisting in reserving conference venues, transportation for offsite events, ordering departmentspecific office supplies, etc.
  • Overall responsible for office Health & Safety, incl. office security
  • Adhoc administrative tasks: e.g. assistance in preparation of parking contracts for employees, supporting HR with administration of employee discounts
  • Various clerical tasks as needed: filing papers, organizing supplies, etc.
  • Supporting the Office Manager with any adhoc tasks, such as vendor coordination, maintaining the seating plan and organizing the office space

Who you are:


  • Excellent customer service skills
  • Outstanding communicator both verbally and written
  • Organized and detailoriented with the ability to prioritize and multitask
  • Thriving in a fastpaced working environment and able to carry out administrative duties with accuracy and speed while simultaneously dealing with adhoc queries
  • Computer literate and proficient using the Google Suite
  • Reliable, patient, and professional
  • Proactive problemsolver with the ability to identify organizational and administrative needs and acting on them
  • Proven experience as office coordinator, receptionist or in a similar role
