Job summary:
We have an exciting opportunity for an Events Supervisor to join the team at Westonbirt Arboretum. The arboretum is one of the largest pay-to-enter visitor attractions in the Southwest, welcoming over 550,000 visitors per year.
The onsite businesses generate a turnover of more than £8m which enables the arboretum to operate on a breakeven basis.
The arboretum has been accredited with a Visit England Gold Award three years running.
The operation of the arboretum was transformed by the 'Westonbirt Project' which in addition to landscape restoration had a main aim to equip the site with facilities befitting the status of the national arboretum.
The tree collection is now complemented and supported by high-quality visitor facilities, from visitor arrival at the Biffa Welcome Building, through to the award-winning STIHL Treetop Walkway, catering, and retail.
The Arboretum hosts a wide range of established and well-loved events and we have ambitious plans to expand and diversify the programme in the coming years.
The arboretum is headed by Andrew Smith, as director, and has 45 Forestry England staff responsible for both day-to-day running of the arboretum and longer-term strategic planning.
The Friends of Westonbirt Arboretum (FoWA) charity was formed in 1985.
Based on site at Westonbirt, FoWA works in close partnership with Forestry England, seeking to support and develop the arboretum through providing consistent and reliable financial support.
As membership has grown the charity has increasingly helped the work of the arboretum through advocacy, and financial and practical support to unlock a whole range of opportunities to further the role of Westonbirt as The National Arboretum.
There are currently around 36,000 members.Job description:
To support the co-ordination of the large-scale events programme at Westonbirt Arboretum, helping to achieve strategic aims and financial targets.
You will work closely with the Event Manager and other colleagues across Westonbirt, the National Forestry England Event Team, 3rd party event management companies, contractors and other key stakeholders to deliver a wide range of events at Westonbirt in a safe and sustainable way.
You will support compliance with FE policy and legal requirements.Visitor Experience will be at the forefront of your mind, not only in terms of events but also day to-day operations.
You will help to ensure the programme runs with mínimal disruption to the visitor attraction and with the utmost consideration given to our historic landscape.
The current events at Westonbirt can be categorised into three primary strands - commercial, cultural and sporting.The programme includes well-established mass participation events such as the Enchanted Christmas illuminated trail, Forest Live summer concert series, 10k race; emerging events such as the children's literature festival Wild Wonder at Westonbirt, outdoor theatre and outdoor cinema; and new events such as the Wellbeing Weekend we plan to host in 2024.
You will support in delivering an events strategy including new events that diversify our income streams and attract new audiences to the arboretum.
You will engage staff and volunteers with the event programme at Westonbirt, encouraging and coordinating their involvement to successfully promote and deliver events.
Key Work Areas- Support the operational planning and delivery of all events at Westonbirt Arboretum.
- Assist with the preparation of event management documentation for internal and external comms.
- Oversee contracts and contractors effectively including the procurement of new goods and services when required.
- Ensure compliance with health and safety onsite.
- Keep accurate financial records to ensure events are delivered within budget.
- Review and comment on event planning and health and safety documents prepared by the national team, external contractors and 3rd party providers.
- Support the issuing of permissions for 3rd party events.
- Work closely with the marketing team to promote and advertise on site events.
- Respond to and resolve visitor feedback.

- You will have operational experience of delivering large scale events, preferably within an outdoor environment.
