OVERVIEW


The purpose of the role is to provide efficient and comprehensive administration support to a designated business area(s) for a wide range of business processes and events.


DETAILED ROLES & RESPONSIBILITIES
Administration duties will be varied and wide-ranging but will most likely relate to the following main areas:
The role has four fundamental areas of responsibility

  • Office Manager for the Bedford St Office
  • PA to the President of ASRG Europe
  • PA to the CFO of International Operations
  • PA to the Culture Committee reporting to the Senior Director of Human Resources for ASRG Europe
  • Office management such as:
  • Overseeing the day to day running of the office; ensuring inventory of supplies, working environment standards, acting as the primary point of contact between the building management and Company and coordinating regular facilities services
  • Compliance & Legal such as:
  • Ensuring compliance with data protection regulations
  • Filing and archiving business information in accordance with data retention policies
  • Events & Communications such as:
  • Organising visits and managing guests, including site tours and room bookings
  • Supporting key communication events like Roadshows
  • Managing internal communications through various methods including Sugarnet
  • General event management and coordination
  • Procurement such as:
  • Processing invoices and managing vendors, goods and services in adherence with the SAP procurement process
  • Purchasing equipment/services as needed by your business area(s)
  • Identifying crossfunctional efficiencies in sitewide purchasing
  • Travel & Expenses:
  • Diary and expense management for designated teams/individuals
  • Travel coordination
  • Safety & Wellbeing such as:
  • Participation in core safety committee and quality activity
  • Coordination and support for wellness initiatives across site
  • TMA responsibility for designated business area(s)
  • Community, Culture & Engagement such as:
  • Coordination and preparation of induction and onboarding programmes for new joiners
  • Lead coordination role for culture committee activities
  • Managing suggestion schemes and supporting communication efforts at site location
  • Organising and supporting community involvement initiatives
  • Managing IT community processes
  • First point of contact for your business area(s) in relation working environment/facilities needs
  • General:
  • Any additional support as reasonably required including cover support for wider administration group
  • Management of one Administrative Assistant (full people management responsibility inclusive of development and performance management)

SUPERVISORY RESPONSIBILTY

  • 1 direct report

EDUCATION REQUIREMENTS

  • No specific education requirements although a good level of literacy and numeracy will be required

ESSENTIAL CAPABILITIES (KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL ATTRIBUTES)

  • Computer literate advanced MS Office skills (essential) with experience in SAP (preferred)
  • Attention to detail and accuracy
  • Administrative efficiency and excellent organisational skills
  • Ability to work unsupervised and with mínimal supervision, demonstrating initiative
  • Ability to multitask and work on multiple projects simultaneously, whilst achieving challenging deadlines
  • Excellent communication skills, verbal and written to liaise positively with all people in the business and externally with key stakeholders
  • Strong commitment to exceptional customer service
