**Reception Coordinator

  • Private Healthcare**: Band 4


Reporting to the Outpatient Manager for Private Healthcare, the Private Patient Reception Coordinator will be responsible for delivering the highest level of administrative service to both patients and clinical teams.

The post holder will act as the first point of contact for patients during their hospital admission and will therefore ensure the highest standards of hospitality to all patients and visitors to the ward.

They will act as a positive ambassador for the service, promoting and marketing the private service to patients and other end users.


To be successful in this role, you will need to demonstrate you have significant experience in providing excellent customer service to patients within a professional, can-do attitude.

You will have excellent communication and organisational skills with the ability to and liaise effectively within clinical and non-clinical teams across the trust to ensure that the patients journey is seamless.


The Private Patient Reception Coordinator will be required to work as part of the Private Healthcare team, delivering the highest level of administrative service to both patients and clinical teams.

The post holder will act as the first point of contact for patients during their outpatient appointments and will therefore ensure the highest standards of hospitality to all patients and visitors to the hospital.


This patient facing role will undertake all administration functions of the patient's pathway, such as correctly updating the electronic health record system with appointments, arranging transport and proactively organising additional supplementary services.


The reception coordinator will greet all new patients, ensuring they are escorted to their appointments and provided with the necessary information related to their treatment.

They will ensure that contact information is up to date, and that patients' queries/ concerns are addressed immediately.

Administrative services relating to private patients are part of the corporate team function but the staff are located within the relevant clinical service(s) and work closely across the NHS Divisional team(s) and the Private Healthcare Team to ensure that private patient enquiries and bookings are managed as smoothly and efficiently as possible.


  • Provide a high quality, comprehensive range of administrative and reception duties.
  • The post holder will be expected to adopt a professional and caring attitude, offering patients and relatives a high standard of customer service with a polite and courteous manner in all aspects of communication. A uniform will be worn to ensure a neat and professional appearance at all times.
  • The post holder will be responsible for ensuring hospitality and housekeeping issues are attended to and are of highest standards.
Work with the multidisciplinary team to ensure the smooth running of the department
