Your new role:

What you'll do:


  • Document control / responsible for the safe storage of Bid documentation (legal, ITTs, PQQs, tenders/bids, Gateways, and any other Client correspondence).
  • Assisting in setting up Projects on Robertson Document platforms.
  • Assist in downloading Bills of Quantities into Estimating and Document Control Systems (Autodesk Construction Cloud, BIM Docs Tender Module and Causeway).
  • Prepare and submit monthly reports on behalf of the Pre Construction Director, analysing and setting out numerical information / statistics.
  • Coordinate and process all Tender Sub-Contractor and Supplier returns within the Common Data Environment.
  • Monitor and report on Common Data Environment information issues / releases through the Bid period.
  • Coordinate, Prepare and Submit Weekly Tender Reports to Group colleagues.
  • Coordination of Bid Technical Workshops with internal and external stakeholders.
  • Assist the Bid Team in the completion of Prequalification Questionnaires, presentations, and tender submissions to strict deadlines (i.e., Bid Launch, Mid-Bid Client and Internal / MD, Finalising, Gateway, Client Submission).
  • Support Bid Team in compilation of Bids including hard copy preparation of drawings/Client ITT documentation.
  • Support Pre Construction Director and core team in administrative duties, including attendance and minute taking at Bid Team meetings, drafting agendas, capturing, and tracking any actions.
  • Ownership and maintenance of Common Data Environments and document libraries (Autodesk Construction Cloud, Regional Hub).
  • Liaise with Tayside Project Office Lead to ensure adherence to Robertson processes and procedures relating to the Bid process, systems training and document control (Bid).
  • Maintain and update the subcontractor database and seeking continuous feedback from site teams.
  • Support the team to enhance the final Bid submission utilising appropriate software packages.
  • Maintain and update libraries of common responses.
  • Maintain supply chain relationships and liaison, organising appropriate workshops and Supply Chain Partner meetings.
  • Support the development of the As One programme.
  • Liaise with Client team on Invitation to Tender documents.
  • Assist with answer planning, development of win themes, review, and format draft responses for Pre-Qualification Questionnaires and tender documents received.
  • Assist the Pre Construction Director by ensuring that all parties responsible for the relevant elements of the precontract project execution plan are identified and that the elements are being progressed.

  • GW4) for all projects.
  • Assist the Regional Business Development Director and Pre Construction Director by ensuring Dynamics systems are kept up to date and Gateway Meetings arranged and signed off on this system.

  • Experience in the use of document control information systems and office administration
  • Able to work on own initiative, unsupervised, whilst maintaining a high standard of work.
  • Able to work as part of a team and integrate with different personalities and styles.
  • Ability to multitask and prioritise with excellent organisational skills
  • Detail orientated with a methodical and precise approach.
  • IT/Business Systems Skills.
  • Excellent communication skills both written and verbal.
  • Helpful, positive, and flexible approach.
