Role Purpose Statement
The Logistics Administrator is to provide administration support to the warehouse operation, control the booking in sheet ensuring that all detail is recorded accurately, check all inbound deliveries and book-in on AS 400 and client's own systems ready for operational team to put away and complete reports and non-conformances as required.
To ensure all products recorded into the warehouse are done so in a qualitative, correct, and professional manner and in accordance with Maxim and Customer requirements / procedures.
To assist in daily stock control routines and investigations to ensure that stock in the warehouse is accurate and matches data held in WMSKey Accountabilities & Responsibilities

Goods-In Booking
- Receive delivery and collection drivers when required and attend to their specific requirements in accordance with SOP's.
- Arrange and maintain the booking in schedule & KPI's.
- Attend to all booking in queries taking ownership of the problem until it is resolved or formally handed over to a colleague for completion.
- Direct drivers and control the movement of vehicles on and off loading/unloading bays for Goods In by liaison with the Warehouse Team Leader.
- Understand and strictly adhere to all Company Health and Safety procedures including Key control of visiting drivers when loading/unloading on bays.
- Ensure by diligent checking, that all goods in and collection documentation is correct and complete.
- All discrepancies must be reported to the Warehouse Team Leader, Stock Control Supervisor or Warehouse Shift Manager before informing customer via nonconformance.
- Monitor arrival of inbound stock with regards adherence to booking times advise any noncompliance.
- Manage return pallets as they arrive.
Goods-In Receiving
- Physically check in bound stock for compliance with pre-advised information (Quantity / Quality / Batch Ref / Description) - advise any non-compliance.
- Visual check of all inbound product, ensure no damages to product or pallets and that the pallet is sufficiently wrapped.
- Report damages to Warehouse Team Leader to ensure that damaged product is removed prior to system receipt and that damaged pallets are replaced.
- Ensure that inbound damage report is completed, and that driver's paperwork is claused.
- Stock Control
- Liaise with the Stock Control Supervisor on the maintenance of accurate stock records by way of cycle counts, ad-hoc stock checks and discrepancy reporting.
- Complete empty location reports.
- Complete investigations into missing and misplaced stock
- Monitor nonpermanent storage locations for misplaced, return and damaged pallets.
- General Administration
- Complete all filing by shift.
- Ensure all reports are completed in accordance with daily task schedule.
- Report any food safety/quality or food defence issues.
- Any other reasonable duties as and when required.
- Ensure continuity and accuracy of communications between shifts.
- Support the smooth running of the shift.
Sampling and Client Admin
- Process goods in on client systems to confirm receipt and generate labels.
- Label received pallets as required.
- Sample pallets as prescribed by client system.
- Label and process samples.
