HR OFFICER


We are looking for an experienced, friendly, confident individual to join our team at Appleford School; providing a first-class HR administration service.

You will need to be computer literate (Word, Excel, Outlook). Knowledge of Engage would be an advantage, but training will be given.

Good organisational and communication skills and a genuine interest in the welfare of people are essential.

  • This is fulltime, permanent position, Monday-Friday 9am5pm.
  • Immediate start available.
To provide a first-class HR administration service. To effectively assist with payroll, establish and maintain personnel files and provide HR related data as required.


Duties:


  • Create and maintain Personnel Files, and personnel data, both in hard copy and electronic form.
  • Manage and maintain the Single Central Record of appointments in accordance with safer recruitment legislation.
  • Maintain staff records and develop a personnel database along with systems and processes for organised reporting on HR matters.
  • Monitor staff absence and trigger appropriate action, including statutory sick pay and provide reports as necessary.
  • Identify in due time all teaching and nonteaching employees who are contractually due to leave through the expiration of fixedterm contracts.
  • With the Operations Manager, update the staff handbook as necessary.
  • Scan and save the weekly staff fire register.
  • Hold Safeguarding Certificates in a file ready for inspection.

Payroll:


  • Liaise with the Finance Officer to ensure the accuracy and consistency of the payroll database with any personnel records.
  • Ensure that all employees receive written notification of their pay/salary on appointment and following the annual salary review process.

Recruitment:


  • Ensure continuity and compliance of safe recruitment process.
  • Follow the recruitment process from start to finish
  • Liaise with Recruitment Agencies (contracts, timesheets & invoicing).
  • Develop Job Descriptions, Person Specifications, KPIs and Job Adverts.
  • Advertise Jobs through various media.

HR Advice:


  • Being a point of contact to source and provide advice on HR related matters.
  • Provide ad hoc reports on personnel related topics as required.
  • Take minutes of formal personnel meetings.
  • Ensure all correspondence and minutes are provided in good time.
  • Ensure good communication with colleagues and Operations Manager.
  • Negotiate with staff and their representatives (for example, trade union officials) on issues relating to pay and conditions.
  • Seek and make use of specialist expertise in relation to HR issues.

Training and Development:


  • Jointly administer induction procedures for all staff, liaising with line managers as appropriate.
  • Ensure all training records are updated.
  • Coordinate the review of probationary periods with Senior Management.
  • Take responsibility for your own continued professional development.
  • Develop line managers on staffing issues such as absenteeism, sickness cover, disciplinary matters and the grievance procedure.
  • Provide management appropriate, management information.
  • Administer Volunteers Applications and paperwork.
  • Assist with the initial setting up of Work Experience placements; liaising with Heads of Department.
  • Administration of Apprentices paperwork.
  • Assist with the initial setting up of Gap students; liaising with the relevant Head of Department.


  • Monitor employees CPD

  • Book courses, send out Joining Instructions, liaise with Finance to ensure invoices are paid promptly.
  • Develop and maintain a training database.

Skills and Qualities:


  • HR skills, CIPD qualification or relevant experience.
  • Trained in safe recruitment practice.
  • Be conversant with the data protection act.
  • Highly organised and good attention to detail.
  • Confident to work in and experience of a reactive environment.
  • Ability to prioritise.
  • Ability to form working relationships with people at all levels.
  • Equality and diversity.

General

  • Ensure orderly filing of all personnel information.
  • Carry out any other duties as directed by the SMT commensurate with the general level of responsibility of the post.
