We are looking for an engaging Receptionist to join our team.
Our receptionist provides a first-class customer service to all visitors, to maintain high levels of visitor/employee/resident satisfaction in equal measure and to ensure the day-to-day concierge services including fault reporting and deliveries are managed in a timely manner.
What you will be doing:
- Answering all telephone enquiries in a professional, helpful, and timely manner to agreed standards.
- Ensuring all visitors to the Unit are given appropriate information in a courteous and timely fashion to agreed standards.
- Monitoring the CCTV operations on the site to ensure security is maintained.
- Ensuring the reception area is welcoming, tidy and always contains appropriate visitor information to agreed standards.
- Inputting data onto the Unit's computer system to set timescales and accuracy.
- Supporting the Manager and Administrator in undertaking specific administrative and clerical tasks as and when required.
- Ensuring effective communication is maintained with colleagues, residents, resident's relatives, and volunteers to maintain excellent customer service.
- Setting up hospital appointments for residents and booking transport.
- Booking taxis.
- Dealing with resident admissions/discharges/hospital admissions/hospital discharges.
- Updating spreadsheets or databases.
- Updating folders/files—residents' and contractors'—health and safety and fire folders.
- Dealing with a resident's personal expenses.
- Photocopying, scanning, laminating, and record keeping.
- Updating notice boards.
- Ordering stationery.
- Liaising with suppliers.
- Maintaining office equipment.
- Maintaining staff and visitor signin/out sheets.
- Liaising with the hairdressers and chiropodists.
- Entering Petty Cash Transactions.
- Organizing the newspapers for residents.
- Update Dynamics system.
- Dealing with staff escort fee (one to one).
- Dealing with staff ID badges.
- Setting up meetings/events.
- Any other ad hoc duties.
What you will need:
GCSE passes in English & Maths or equivalent.
Experiences inside a busy and demanding environment and worked within a varied team.
Experience of working in a people environment
Excellent IT Skills with literacy in Outlook, Word, and Excel
Ability to maintain confidentiality always and work within the parameters of data protection
