The client is an internationally owned Medical and Nursing organisation who specialise in medical technology. They have grown rapidly and are now launching within the UK.

This Office Manager position is a pivotal role created to support the UK team.

You will play a key role in the development of internal processes and the day to day running of the UK office.

Furthermore, you will interact with key internal and external stakeholders by phone, video calls - many of whom will be medical professionals.


Description

As an Office Manager your responsibilities will include:

  • Development and supervision of operational and business administration procedures
  • Organise UK company events and conferences
  • Handle incoming calls, external correspondence, complaints and queries
  • Create contract formats for sales and service
  • Complete contract offerings for NHS customers
  • Implement the CRM system for the UK commercial team, and provide training for each of the group.
  • Manage the Quality system for the UK and ensure staff process/ compliance
  • Process invoices and manage office budgets
  • Assist with organisation's HR by aiding with the onboarding of new employees
  • Partner with finance functions by updating forecast and financial documents
  • Manage relationships with vendors and external service providers, ensuring that all items are invoiced and paid promptly
  • Manage and enforce UK Health and Safety policy
  • Potentially take on market research projects
  • Potentially visit clients to discuss contract needs

Profile

The successful Office Manager will ideally have:

  • Extensive experience within Administration/ Business Support/ Customer Service
  • Ideally experience within a healthcare/ medical/ pharmaceutical organisation
  • Knowledge of effective administrative procedures and project management
  • Ideally experience of composing comprehensive commercial contracts, data and letters
  • Excellent communication skills both written and verbal
  • Able to commute to Welwyn Garden City
  • Self starter, highly organised with excellent time management skills
  • Familiar with working to tight deadlines
  • Proficient using MS Office
  • Adaptable and able to adjust within a changing work environment
