Location:


Well-Safe Solutions, Aberdeen, though there may be a requirement to visit and work at other company locations or supplier's premises as required.

The postholder must be able to attend our global headquarters in Aberdeen.

Reporting Line:

The Receptionist will report directly to the Executive Assistant.


Role:


The Receptionist will be the first point of contact for all visitors, and receiving of incoming calls, provide a professional reception service, as well as carrying out administrative duties as required.

If there are 2 part-time receptionists covering am/pm, it is an essential requirement that each receptionist provides cover for planned absence of the other.


Key responsibilities:


The Receptionist will be required to:

  • Answer calls politely, and efficiently, redirecting as appropriate or taking messages.
  • First point of contact to meet and greet visitors ensuring a professional and helpful impression.
  • Record visitor details, issue passes thereby ensuring the security of the building is maintained
  • Mail prepare and frank mail for daily collection.
  • Managing the diaries of various meeting rooms and ordering catering supplies for meetings and employee events as required.
  • Arrange taxis and couriers as required. Arrange incoming deliveries to be passed to employee promptly.
  • Provide general admin support to various departments typing of documents, printing, binding and scanning.
  • Arranging travel for officebased staff in line with travel requests flights, accommodation, transportation
  • Adhere to the companies QHSE requirements
  • Any other tasks within the competence of the role and jobholder

  • Administrative duties carried out accurately and efficiently
  • All travel requirements are managed effectively

Safety Leadership:

Priorities safety first and intervenes to prevent safety incidents.

Can articulate why safety is important to the organisation and complies with all organisation safety standards and guidance, whilst looking for opportunities through their role to improve safety and reporting those who do not comply with relevant safety standards so they can be held to account.

Full responsibility for all operational activities within the philosophies and constraints laid out in the job description.

Knowledge & Competency:


  • A friendly, professional manner
  • Ability to communicate at all levels
  • A minimum of 2 years Reception experience
  • Competent with Microsoft word & outlook
  • Highly motivated, proactive, and willing to take on new challenges
  • Able to work with mínimal supervision
  • Flexibility is essential
  • Team Player
  • Ability to work under pressure in a fastpaced environment, to various deadlines and manage priorities.
  • Ensuring discretion and confidentiality at all times.
  • Competent with full Microsoft suite of package
