_The Role & Purpose:
_

  • Advanced, proactive diary management, facilitating swift setup of internal & external client meetings;
  • Managing diary and balance professional and confidential personal calendars;
  • Monitoring daily changes to commitments;
  • Finalise complex travel arrangements: coordination of flights, check in, VISAs, accommodation and ground transportation logistics following a Corporate Policy. Manage a multitude of frequent changes at short notice and prepare travel itineraries;
  • Manage and log expenses;
  • Main point of contact for the Global CEO for all staff and act as a firm gatekeeper as needed;
  • Become integral part of business, understand group priorities and expectations;
  • General administration duties (Room bookings, filing, photocopying, faxing);
  • Management of correspondence of a highly confidential nature;
  • Plan, coordinate and ensure schedules are followed and respected;
  • Research, prioritize, and follow up on incoming issues and concerns addressed to team members which are of a sensitive or confidential nature. Determine appropriate course of action, referral, or response;
  • Direct preparation of records such as agendas, notices, minutes, and resolutions for corporate meetings;
  • Provide coverage to the team where needed.

Experience:


  • 57 years Extensive Executive Assistant Experience at a C Suite level, preferably within Financial Services;
  • Is assertive and approachable with their demeanor and approach to daily deliverables;
  • Is flexible with working hours, and is willing and open to change within these;
  • Ability to handle sensitive information with discretion, and to maintain absolute confidentiality at all times.
  • Flexible attitude in a fastmoving office environment;
  • Has a polished, professional approach, with a calm and composed manner, and possess an ability to work in a pressured environment and partner effectively with peers;
  • Is highly resilient and thrives under pressure;
  • Can follow up without prompting and keep ahead of arrangement and requirements, displays good use of initiative and follow through to completion;
  • Has a high level of attention to detail and delivers high quality results;
  • Has an ability to manage difficult situations and prioritise tasks;
  • Has an ability to make decisions and operate on own initiative;
  • Exudes a strong, executive communication style;
  • Possesses a strong aptitude for time management;
  • Has Good interpersonal and communication skills
  • Is a Selfmotivated person;
  • Has Excellent written and verbal communication skills;
  • Is Highly proficient in MS Office especially Outlook and PowerPoint;
  • Asserts a solution focused frame of mind and is highly proactive in their duties.
