Description

Signpost managers and employees to our policies and procedures, or direct them to the appropriate colleague in HR for further advice.


  • Work with the management team at Portbury and in conjunction with the HR Advisors to produce and issue letters of invite to formal meetings, ensuring that appropriate timescales are given and that the applicable company policy is followed.
  • Support Team Leaders and Managers in formal meetings by taking accurate notes including sickness absence, disciplinary, grievance and probationary reviews and providing final copies to be issued to employees for sign off.
  • To book translators for meetings, raising purchase orders for this service.
  • To work with colleagues to proactively manage sickness absence, monitoring levels of absence, highlighting to team leaders when a trigger in the sickness absence policy has been reached and arranging absence review meetings.
  • To arrange probationary review meetings for new starters in accordance with the probationary review policy and ensuring that meetings and any outcomes are documented.
  • Work with the CS&D team and HR colleagues to request and distribute employee ID cards
  • Support the payroll team and CS&D managers with the implementation of the time and attendance systems in the supply of new employee / change of employee information.
  • To support the recruitment process by providing managers with any paperwork / information that they may require prior to interviews.
  • To work with Shift Managers to manage agency labour and raise purchase orders for agency spend.
  • Coordinate appointments for statutory health checks and the flu clinic.
  • Coordinate and support inductions of new staff at Portbury.
  • Adhere to data protection policies and processes by retaining sensitive, personal information confidentially and ensuring that it is appropriately stored.
  • Undertake any other tasks reasonably incidental to the role.

Essential:


  • Previous experience of working in a busy office/admin role


  • Excellent computer skills

  • Microsoft 2010 / 365 packages, at least Intermediate level Word, Excel and PowerPoint, Outlook
  • GCSE or equivalent level Maths and English grade C or above
  • Proven experience of multitasking
  • Methodical and detail conscious to ensure accuracy of records and letters / contracts produced
  • Able to use initiative and make decisions within established parameters
  • Outgoing, friendly and approachable with a genuine desire to help others
  • Able to work with an attitude of continuous improvement with the business needs at heart
  • An enthusiastic, selfstarter with the ability to manage and prioritise your own workload
  • A strong communicator and effective relationship builder

Desirable:


  • Experience of supporting more than one team or manager
  • Experience of working in a HR team
  • Advanced Excel, Word and PowerPoint including pivot tables and formulas.


  • CIPD qualification

  • First level

Salary:
£25,000.00-£28,000.00 per year
