As our Executive Assistant you will be responsible for providing comprehensive and effective support to the Senior Leadership Team (SLT) of Proact UK.

In this dynamic position, you will complete a broad range of activities, administrative tasks and projects that enable and facilitate the effective leadership of the organisaiton, operating with integrity and professionalism at all times.


Core Responsibilities
Meeting Management

You will arrange all SLT meetings and any required ad hoc meetings for the SLT, providing effective administration, arranging travel and ensuring related diary management
You will collect and prepare data and information for meetings that SLT members attend

You will attend meetings with SLT as required, providing effective administration for meetings - taking confidential notes and ensuring processes for recording and tracking actions
You will support each Director to prepare for and following relevant meetings to ensure robust management of actions arising from each meeting

You will coordinate any other key stakeholders that SLT require to attend
Diary Management and Travel

Make all travel arrangements for SLT, including both domestic and international travel

Be responsible for the effective diary management of SLT members, arranging meetings and ensuring privacy and confidentiality at all times
Company Events

You will lead on planning and arranging key company events, such as our annual kick of, mid-year business updates, customer events and employee centred events
You will help to organise and coordinate board visits and meetings and other international visits

You will help with organising and communicating events linked to our People and Culture programme, such as induction events, charity fundraising activities and so on
You will help with organising digital and in person events and you will use technology to bring people together across our multi-site organisation
Special Projects

You will have the opportunity to be involved with a wide range of diverse project work. For example, within our Corporate Social Responsibility programme, our Sustainability Programme or our People and Culture programme
You will work alongside our Office Ambassadors and our Marketing and Events teams tocoordinate and deliver a range of events and projects

To be an exceptionally organised, practical and proactive individual
The ability to work with the highest level of integrity and professionalism at all times.

A lot of the information you will have access to is commercially sensitive and/or confidential and so you must be able to handle sensitive information appropriately
Excellent IT skills and a high level of capability with, primarily, MS Office suite including MS teams

The ability to anticipate needs, think critically, and offer solutions to problems with a high level of innovative thinking
The ability to prioritise multiple tasks and manage own time

Excellent communication skills and the ability to communicate clearly in multiple formats with people in diverse roles across the organisation
Self-motivation, independent-mindedness and ability to use own initiative

The aspiration to get involved in a wide range of developmental projects
A willingness to adapt positively to change

Experience in a similar role
GCSE Grade C or above in English and Maths, or equivalent qualification
