Are you an experienced and highly organised professional seeking a rewarding opportunity to make a positive impact? We are currently looking for a dynamic Executive Assistant to join our team on a temporary basis.

This role is crucial in supporting our Chief Executive Officer (CEO) and ensuring the smooth functioning of our governance structures.

The Role:


As an Executive Assistant, you will play a key role in planning and delivering the CEO's workload while providing essential support to the Head of Governance and HR.

This is a temporary role with an immediate start, ideally in the first week of December.


Key Responsibilities:

  • Efficiently manage the CEO's diary, providing highquality administrative and executive support.
  • Act as the main point of contact for all visitors to the CEO, ensuring interactions align with our values.
  • Plan and coordinate CEO policy events and meetings, including Executive team meetings, Board and Committee meetings, the AGM, and other relevant events.
  • Provide logístical and administrative support for all meetings and Board events, including venue arrangements and agenda preparation.
  • Oversee the preparation of Board and Committee meeting papers, ensuring timely distribution to members.
  • Take accurate minutes of various meetings as required and circulate them for approval.
  • Ensure followup on agreed actions from meetings, prompting action owners as necessary.
  • Provide administrative support for Trustee and staff recruitment and induction processes.
  • Support the CEO in maintaining an efficient office environment.
  • Contribute to the archiving process in line with our document retention policy.
  • Contribute to team performance aligned with our values.

Qualifications, Skills, and Experience:

  • Significant experience in a busy environment.
  • Relevant qualifications or experience in a similar role.
  • Competency in diary management and prioritising competing priorities.
  • Positive and constructive attitude, wellorganised, and resilient under pressure.
  • Excellent communication and interpersonal skills, with the ability to engage professionally at all levels.
  • Experience in committee work, including minutetaking and logístical support for meetings.
  • Proficient in Microsoft software packages and willingness to learn other business tools.
  • Experience in creating presentations in PowerPoint.
  • Awareness of health and safety issues in an office environment.
  • Solutiondriven, proactive problem solver with initiative.
  • Ability to maintain impartiality, fairness, and confidentiality.
A standard DBS check will be required for this position.

This is an ongoing temporary role with an immediate start, ideally in the first week of December, 21 hours per week with flexibility on what days these would fall (however between Monday to Friday 8-6pm)

Due to the nature of the charity being a community-based organisation, mostly in-office working is required


Pay:
£18.68 per hour
