About the role
We have an exciting opportunity to join our Operations team as a Facilities Receptionist.

In this role you will be responsible for greeting internal and external visitors and ensuring site signing in procedures are adhered to and basic health & safety information is shared with all visitors.

You will also play a key part in supporting our DC facilities supervisor, you will provide general office support and take part in a variety of administrative activities, including related tasks.

What will you be doing?

  • Welcoming visitors by greeting them, in person or on the telephone; answering calls, screening calls as required and then referring enquiries to the relevant teams. Ensuring security protocols and health and safety requirements are always followed.
  • Manning the reception desk, directing visitors by maintaining employee and department directories; liaising with visitors as required and keeping departments informed of visitor/front of house information/instructions.
  • Assisting internal departments, by acting as the point of contact for any general front of house and facilities/maintenance queries.
  • Maintaining safe and clean reception area by complying with procedures, rules, and regulations.
  • Coordinating the centralised noticeboards (including health & safety and Club wide comms boards) throughout the Distribution Centre and ensuring all staff communications are available to the relevant teams.
  • Processing mail via the computerised postal system and distributing internal and external mail and various courier/general deliveries around the LFCs facility.
  • Maintaining the electronic filing system for the DC (front of house, facilities and DC warehousing), ensuring all relevant paperwork is securely and confidentially stored in the correct areas. Completing general housekeeping of the electronic filing system on a regular basis.
  • To carry out daily meeting room checks for general tidiness and maintenance requirements and coordinate the electronic meeting room bookings, arranging any refreshments for meetings as required, complying with relevant budget processes.
  • Performing administrative duties to support the DC Ops team and facilities department.
  • To assist site security with updated visitor information and awareness at all times.
  • To monitor stationery stock levels of consumable items such as paper, envelopes, printer ink etc. and arrange to replenish supplies in accordance with current procedures.
  • Logging facilities maintenance queries through the relevant process, coordinating the maintenance tasks and ensuring completion of these tasks, escalating as required.
  • As agreed with the Manager, Facilities acting as the initial point of contact for external and internal maintenance visitors to ensure all internal facilities processes are complied with.
  • To carry out any other reasonable duties within the overall function of the job & to assist facilities generally should the need arise.
Who are we looking for?

You'll be self-motivated with ability to prioritise work and multitask over a wide range of responsibilities. You will work well independently and have teamwork mentality.

Strong organisational, leadership and customer service skills with great attention to detail will be skills you are able to showcase.
