Our Newcastle office is currently recruiting for Practice Support Administrator.

The Role


This role will be located in our Newcastle office and will be responsible for providing day to day administrative support to fee and non-fee earners across the business.

This role sits within the Practice Support Office under our newly formed Practice Services pillar, aimed at modernising and enhancing the support provided across the business.

The team provides support from Monday to Friday with a mixture of working patterns to ensure consistent proactive support is available during these times.

You will report to the Practice Support Co-ordinator.

Key Responsibilities

  • Utilising a workflow tool to receive and process work requests received from within the business
  • Providing proactive administrative and organisational support to the business
  • Assisting with the creation of financial and other reports e.g. WIP reports Preparing and submitting finance forms (e.g. expenses and currency requests) ensuring all information and approvals have been received
  • Providing supporting on managing local counsel invoices
  • Arranging and booking internal meeting rooms and arranging room set up/catering when relevant
  • Providing admin support on event organization both internal and external e.g. managing / creating mailing lists
  • Providing support on the arrangements/organizing of training, external webinars and conferences
  • Arranging travel by taxi / train / Eurostar
  • Minor editing to documentation e.g. Engagement Letters, CVs to adhere to Norton Rose Fulbright LLP house style
  • Undertaking comparing and pdf changes to documents
  • Providing support when needed on matter management
  • Archiving and retrieving files and deeds from storage as required
  • Undertaking any copying, printing or scanning required, including preparation of large files, bibles or bundles of documents (paper and electronic), including pagination and indexing
  • Providing support in maintaining and updating client and other relevant contact details on relevant databases, including CMS/InterAction database
  • Supporting other members of your team and providing cover as and when necessary to ensure that work is completed to a high standard and meets the required deadlines
  • Providing admin and organizational support on training and events
  • Providing admin support on projects when needed
  • Taking the initiative for liaising with IT support, facilities and other internal teams to ensure you are able to fulfil your role successfully
Skills and Experience Required

  • Embraces and promotes the use of technology and proactively identifies opportunities to improve ways of working
  • Excellent communication, organisational and administrative skills
  • Strong time management and prioritisation skills will be required to support a demanding group of multidisciplinary teams with different levels of seniority in a calm and efficient manner
  • Attention to detail: proof reads all work, checking for spelling, grammar and consistency
  • Proactive approach and enthusiasm to working independently and as part of a team
  • Shows a willingness to learn and develop skills
  • Drives forward initiatives to create a continued sense of "team" within your virtual peer group
  • Must be flexible to work outside contractual hours when needed
