This is an exciting opportunity based at the Lookout, Hopewood working as a Clinical Secretary you will cover a 5-day week working Monday to Friday.

The secretarial administration operates between 8.00 and 17.00 hours.

This role includes providing a comprehensive and efficient secretarial/administrative/reception support service to the multi-disciplinary team within CAMHS Adolescent Unit, based in the Lookout on the Hopewood site.


You must be educated to GCSE standard or equivalent, possess excellent communications skills and be competent in the use of computer systems including Microsoft.

Undertake ward related and administrative duties including:
Preparation and attendance for ward rounds and updating weekly ward round templates in preparation for the following week.

Arranging Mental Health Acts.

Preparation of documentation for CETRs and Tribunals.

Outlook calendar management and room bookings for meetings, ensuring that conflicting and amended invites are actioned appropriately.

Patient referral processing, maintaining, and updating folders.

Able to work flexibly within the Lookout Admin team.

Complete IT account set up and requests.

Support the clinical team with booking mandatory training.


Facilitate meetings/investigations/disciplinaries including venue booking, producing agendas, and taking accurate minutes at meetings ensuring completion within the time limits and standards set.

Resolve and signpost queries from patients, carers, internal departments, and external agencies as appropriate.

To work effectively both independently and as a team member.

Booking courses, accommodation and travel requests, as and when required.

Ensure medical records are filed in line with Information Governance procedures.


To ensure patient referrals are processed and to timely input, update maintain information and resolve queries on the patient database.

Resolve and signpost queries from patients, carers, internal departments and external agencies as appropriate.

Responsible for ensuring that accurate work is completed within the time limits and standards set.

To be able to work flexibly and provide cover which may include the requirements to travel to different sites.

Undertake any other duties that would be a reasonable expectation of the role.
