Purpose of the Role


The main purpose of the Loading bay officer role is to efficiently run and maintain an organised loading bay, offering assistance to all delivery drivers who are delivering or collecting items from the estate, maintain smooth operation of the service yard and the car park areas; sharing and understanding of the client's vision of the development to deliver these values.

Keep service yard, walk ways and corridors clean and tidy.


Key Responsibilities


To work closely with the Estate Manager and all other employed staff and service providers within the development in ensuring that the highest standards at the properties are maintained at all times.

Where applicable, to ensure detailed handover notes are written and made available to the relevant department supervisor.

To answer the phone and on-site intercom system in a professional manner.

To respond to all incoming issues the same day even if a resolution cannot be found.

To diarise any work which needs regular attention in outlook and follow up accordingly.

To be proficient with the onsite handbook and associated documents relating to the site and refer to as often as required

To be polite and personable to all visitors, contactors and residents

To report breaches of lease obligations to the Estates Manager

To be familiar with all aspects of the site including location of stop cocks (main and individual), shut off points for gas and electricity and manual override for gates

To receive deliveries on behalf of leaseholders and tenants and communicate with the relevant party.


To carry out full car park and loading bay inspection at commencement of shift, periodically throughout the shift and at end of the shift.

To be aware of all contractors working on site and ensure relevant permits such as working at heights, hot works or roof permits are issued

To report any maintenance or breakdowns immediately to the line manager.

To ensure all onsite log books are completed where relevant when contractors visit.

To monitor vehicles entering and leaving the service yard

To ensure bins are available for regular collections and use the bin tow equipment to manoeuvre bins on collection days to the designated collection point if applicable, or in assistance to the Operative team

To maintain accurate reports of any incidents.

To attend staff meetings and events when required.

To comply with and ensure that the landlord obligation for health and safety and fire precautions are always met.

To assist other employed staff, building occupiers, and visitors in the event of an emergency.


To acquire working knowledge of the property / properties systems and procedures to enable you to take control of the property during the shift.

To carefully complete all log reports that may be required by the employer or the line manager.


The employee is not to undertake any task that may be a risk to their health and safety unless suitably trained.

Personal appearance is to be of a very high standard at all times. Any uniforms provided must be kept in a laundered and well pressed condition at all times.


To deal with all queries on site efficiently and professionally and as appropriate direct queries to third parties for action, ensuring the person raising the query is informed of the action taken, the expected outcome and the timeframe involved.

To carry out any other duties as the line manager may from time to time consider necessary.

Ensuring bin stores are tidy and accessible

Litter picking in service yard, Rosewood Walk and surrounding areas.

Ensure the service yard, lifts and corridors are cleaned and kept to standard

Ensuring all doors and access points including gates to service yard area are secure

Reporting any issues on the above to the Management Company on the same day as they arise.


The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by your changing role within the organisation.


Skills, Knowledge and Experience

  • Experience in the provision of loading bay and cleaning services in a busy residential environment.
  • In order to comply with the Security Industry Act 2001, officers must hold a valid SIA Security Licence.
  • Ability to demonstrate excellent levels of customer service at all times and be able to communicate well at all levels.
  • Ability to work on own initiative and deal with demanding situations.
  • Honest and reliable work ethic.
  • Willingness to partake in onsite training for emergency procedures.
  • Excellent organisational, interpersonal and communication skills.
  • Willingness to adopt a flexible approach to work patterns and work weekends/evenings as and when required.
  • Willingness to undertake additional training and career development.
  • Well presented at all times.
  • Accurate record keeping with good attention to detail.
  • Able to meet the requirements of BS785
  • Security vetting

  • Valid SIA Security/CCTV License
