Who we're looking for


The primary focus of the Assistant Support Specialist will be to provide administrative support to the Derivative Services Support Specialist and the Derivative Services Business Support Manager.

You will also assist the rest of the Management Team and their functions within Global Transaction & Derivative Services by delivering a quality service to the business and our clients.

You will have experience supporting a busy team, ideally within financial services.

You will have extensive experience in diary management, meticulous attention to detail, excellent communication skills and proven experience providing administrative support to a busy team.

You will be able to demonstrate the key skills required to perform this role to the high standards required, and to deliver on your annual objectives.

The base


You'll be based at our HQ in the City of London offices which has an international reputation and is home to our EMEA Investment Services teams.

The team


You will work in a small team of friendly, hard working and experienced individuals who collaborate extensively with Global Transaction & Derivative Services.

Team members work hard to support each other and are willing to provide help and assistance whenever needed to maintain a positive working environment and overall excellence for the business.

What you'll do

Providing a high quality, efficient and effective secretarial/administrative support service, which includes the following key responsibilities:

  • Administration and support to Business Support Manager.
  • Diary management as required
  • Organisation of daytoday meetings, departmental forums and annual management offsite meetings including required travel, room bookings and catering requirements
  • Oversee maintenance and monitoring of department IT equipment inventory
  • Compilation of meeting and presentation materials
  • Taking of meeting minutes as required
  • Processing of monthly expenses
  • Validating and arranging payment of invoices
  • On/Offboarding of new starters and leavers using the MyAccess and other tools.
  • Arranging departmental moves as required
  • Allocation of staff lockers
  • Maintenance of staffing lists and organisational charts.
  • General support for the team
The knowledge, experience and qualifications you need

  • Previous financial secretarial/administrative experience at a high level (23 years minimum)
  • Advanced/intermediate Microsoft Word, Excel, PowerPoint skills
  • Sound grammatical understanding and accurate spelling
The knowledge, experience and qualifications that will help

  • Previous knowledge and/or experience within the Investment Management or Financial Services Industry are desirable but not essential.
  • Knowledge of Power BI
