We provide services for NHS CCGs, NHS Trusts and Foundation Trusts, and other providers of NHS funded services. We deliver over 160,000 patient interactions annually, including outpatient appointments, diagnostic testing and eye surgery. Our services are delivered through a variety of models including Managed Services and Ophthalmology Joint Venture (OJV) Partnerships.


Role Summary
We are looking for a new Senior Patient Administrator to join our Oxfordshire site. As you'd guess from the title this role involves carrying out different administrative duties and it's a varied role.

Our clinics are busy so we're looking for someone who loves working in a fast-paced environment where every day is different.


Key Responsibilities

  • To manage the setup of all clinic diaries, booking patient appointments ensuring that all clinics and theatres are fully utilised.
  • To be responsible for ensuring that all patient reminder calls, and text reminders are conducted in line with team processes.
  • To act as the central point of contact for all telephone enquiries from patients and clinic staff
  • To deal with enquiries from GP's and other clinicians
  • Maintain a committed approach to continued professional development and clinical governance
  • Manage and monitor clinic activity.
  • Have autonomy to identify overbooked clinics or if additional are required to reduce wait times and escalate this to the Operations manager
  • When advised implement changes to clinic start/finish times. Amend slot totals as necessary as directed by the Operations Manager or Operational Director.
  • Support the Patient Administrative team in ensuring that all month end clean up procedures have been completed
  • Ensure the efficient operations and administrative function of Newmedica Oxfordshire
  • Balance clinic workload and patient flow
  • Effectively manage the transfer of patients
  • To be responsible for training other team members to a high standard
  • Support the senior management team in implementation of new service delivery initiatives
  • Assist with the Private Patient Admin tasks
  • Assist with monitoring and ensuring that communication response rate targets are achieved
  • Support any operational and clinical audit activities
  • Provide general administration and support to the Clinical Assistant's in the running of the service.
  • Provide weekly updates on clinic/theatre scheduling, utilisation and any clinical gaps.
**What skills and experience do I need?

We need someone who is incredibly customer focussed and enjoys meeting and talking to people - the thought of eye surgery can be a daunting prospect for patients to deal with, so all our team members need to be empathetic and friendly and able to put patients at ease.


We'll provide training so experience isn't always needed, but the following things will be advantageous:

  • Previous experience in a medical or patient facing role
  • Previous experience in a managerial role (desirable)
  • Experience in a busy administrative role
  • Ability to concentrate on various tasks and prioritise where appropriate
  • A competent user of all Office 365 programmes
  • Tech savvy and comfortable working on new systems e.g. patient record systems
  • A good phone manner
  • An excellent grasp of the English language both verbally and in written format
  • A good team player happy to jump in and support others when required
  • Excellent organisation skills and the ability to multitask
  • Outstanding telephone manner
  • Committed to delivery of consistently high standards of administration
