Salary Range on appointment:

£24,000 - £28,000 per annum


Position type:

3-month temp to perm position.


Training:

Full training provided


Hours of work:

9am - 5pm (with one hour lunch)

35 working hours a week


Holiday:

Job DescriptionCemetery Co-Ordinator required to provide comprehensive operations support, including an efficient and pleasant reception service for visitors and excellent communication links between the office, grounds staff, and the wider operational team

Main Responsibilities:

  • To facilitate the smooth running of burial bookings, arrange booking times for funerals with funeral directors, maintain burial diary and liaise with grounds team in a timely manner. Ensure all relevant paperwork is received within 2 days of the funeral booking. Responsible for the issuance of Grave deeds to new grave owners and maintaining legal requirement to keep burial records, ensure all burial orders are completed and posted to registrar on the same day as committal.
  • Process change of ownership requests, assist with grave searches, and respond to all general enquiries from the public and other cemetery staff.
  • Monitor activity within the cemetery using CCTV footage, escalate any issues to Cemetery Foreman. Alarm and lock the cemetery office and chapel daily.
  • Deal with all enquiries, including any complaints that may arise, follow correct procedures, and escalate complaints if necessary.
  • To assist members of the public visiting the cemetery Chapel and catacombs, operate a sign in/out register. Assist Administrators and visiting priests with chapel services, ensure supplies are provided including the use of organ.
  • Assist Central Ops with audit matters, provide reports/evidence on request.
  • Develop the use of technology within the cemetery office, source alternative means of process in order to find efficiencies.
  • Ensure all staff activity is recorded digitally including holiday requests, sickness absence and timekeeping. Provide reports on request.
  • Build a positive working relationship with Funeral Directors, Stonemasons, Suppliers, and the general public/families. Direct the public to grave locations on request.
  • Equip Grounds staff with appropriate work attire, order supplies and make arrangements for repairs if requested to do so.
  • To take reasonable care of own and others safety, to cooperate in complying with cemetery Health & Safety Policy, to report work related injuries/illness or near miss events. Follow safety rules and safe working practices.
  • Ensuring risk assessments are carried out and regularly reviewed for significant operational risks including a risk assessment for each burial and correct procedures followed for all exhumations.
  • Ensuring adequate first aid arrangements are in place and first aid equipment replenished regularly.
  • Undertake general inspections of the workplace, chapel and cemetery grounds noting and correcting any unsafe or unhealthy conditions or working practices. Escalate concerns if not immediately remedied.
  • Report unsafe or potentially unsafe conditions that cannot safely and easily put right to the Foreman as soon as possible.
  • If required, attend training courses, pass information gathered to relevant parties.

Essential Requirements

Desirable

  • A minimum of two years relevant administrative experience. Must have experience with Microsoft Office Tools including Windows, Word, Excel, Power Point.
  • Ability to exhibit a high degree of confidentiality and discretion when handling confidential or sensitive information
  • Experience working in similar environment.
  • Previous Health & Safety responsibility, evidence of relevant qualifications.
  • An understanding of Catholic approaches to the care of their deceased brothers and sisters.
