Seeking a highly organised and enthusiastic Executive Assistant to be our entrepreneurs right hand across multiple ventures - from a venture backed startup to podcasting and social media engagements.

This role is a rare opportunity to join a chart-topping podcast, ultra high-growth fashion brand and an enthusiastic team of people working to take these ventures to the next level.


Responsibilities

RESPONSIBILITIES _GENERAL _**- Extensive door to door travel arrangements

  • Coordinating all national and international requirements, with full itineraries
  • Ability to manage last minute changes to the schedules and find solutions
  • Overlooking new hires
  • Handling expenses, invoice paying, keeping accurate record on a ledger + managing relationships
  • Managing personal, business accounts, closely working with the accountants and financial advisors
  • Assisting with WHHW Podcast recording (managing speakers and editors as well as preparing studio)
  • Preparing corporate documents
  • To provide full personal assistant support
  • Assist and coordinate special projects, property, household management and operational activities needed for general daily life requirements (Managing packages, gifting, shopping as well as regular dog sitting requirements, holiday packing, etc. )
  • Produce presentations, documents, spreadsheet and reports
  • Draft and sign correspondence when necessary
  • Plan personal/company events, dinner parties etc
  • Liaise and coordinate with personal brand management team

RESPONSIBILITIES _DAY TO DAY _**- Working directly with high-level employees

  • To act as a first point of contact dealing with correspondence and calls
  • To proactively manage and coordinate the diary, by prioritising and arranging internal and external meetings, ensuring appropriate briefing papers are prepared and provided

NEEDS TO BE

  • Highly organised, and excited by fastpaced environments
  • Somewhat interested in social media, podcasting and similar areas
  • Ability to manage both the Founder's business and personal demands simultaneously
  • Selfmotivated but able to work as a team
  • Master of time management
  • Know how to handle being privy to sensitive information (professional discretion)
  • Problem solver, decision maker, solutionfocused
  • Able to preempt the Founder and be able to offer alternatives
  • Ability to efficiently multitask
  • Professional and friendly demeanour
  • Must have "no job is too small or too big" attitude
  • The ability to work under extreme pressure and deadlines
  • Meticulous attention to detail
  • Able to convey information to people clearly and simply
  • Must have great communications skills, verbal & written (dealing with members of all business, angel, investors etc.)
  • Able to work flexibly and occasionally out with office hours

EXPERIENCE

  • 35 years minimum experience in PA/EA roles ideal would be having assisted someone high profile and a high degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff and investors
