FUNCTIONS OF POST:


  • Diagnose and troubleshoot software and hardware issues.
  • To implement ICT changes with staff and customers.

MAIN DUTIES AND RESPONSIBILITIES:


Functional Responsibilities

ICT Hardware and Software

  • To ensure the Open Awards ICT systems are robust, up to date, and meet Open Awards needs.
  • To maintain and enhance the IT hardware and software systems used by Open Awards to ensure the smooth running of all IT systems.
  • To monitor and maintain platforms, computer systems, and networks, keeping all licenses and renewals up to date.
  • To liaise with staff and customers to resolve ICT and system issues/faults, escalating to an external ICT contract company as required.
  • To manage access rights to the Open Awards network and ICT systems, setting up new users and revoking leavers' accounts.
  • To maintain an asset register for all ICT hardware and software.
  • To manage and maintain the hosted telephone system, lease line, and mobile phone contracts.

Open Awards Database and Systems

  • To put systems in place to ensure accurate database records are maintained.
  • To contribute to the development and maintenance of Open Awards databases and systems.
  • Work with staff to ensure new processes can be delivered through the Open Awards database, website, share-point, and assessment platform.
  • To develop automated workflows in the Open Awards database to simplify administrative processes.

Training and Communication

  • To develop, maintain and monitor the Open Awards Helpdesk system to ensure it continues to meet requirements and all IT / System issues raised by staff are resolved within service standards.
  • To provide regular updates to staff and providers on data security and IT system developments.
To support the effective and efficient operation of Open Awards by:

  • Training staff and providers on the use of Open Awards IT systems.
  • Maintaining the ICT Users policy and ensuring staff adhere to ICT security.
  • To liaise with providers to facilitate the electronic transfer of data.

Data Compliance

  • To ensure information held electronically is compliant with the data protection act and manage any requests for information under the Act.
  • To manage and record data breaches and report to ICO and Open Awards Trustees, making recommendations for mitigation as required.
  • To project manage the reaccreditation of IT standards, including Cyber Essentials

General Responsibilities

  • Maintain up-to-date records of activities in the Open Awards database in accordance with policies and procedures.
  • Travel to and work from any site that the duties of the job may require.
Occasional out-of-hours work may be required for which TOIL is given.


  • Carry out any other duties as specified, from time to time by the Management Team.

COVID-19 considerations:
We have adopted a hybrid working approach based on job needs. This post will be mainly home-based but with an expectation to work in the office as required.
