Band 4 PA/Administrator
To deliver a quality administrative service, to meet the requirements of a Multi-Disciplinary Team adhering to deadlines and targets. To deliver and maintain the procedure's that enhance the collection and recording of patient/client information and serviceperformance management.

Skills and Experience

  • Secretarial / Administration background
  • Data entry experience
  • Diary management
  • Audio Typing, Minute taking. Reprographic experience (photocopying)
  • Confidentiality, Data Protection Act
  • A range of secretarial processes / Admin procedures
  • Proficient in Microsoft Word and excel
  • Understanding of psychiatric terminology
  • Excellent communication skills written and verbal.
  • Ability to work autonomously within a team and with other disciplines.
  • Ability to work under pressure as part of a team or independently
  • Organisational skills & Good presentation/ standard of work

Main Duties and Responsibilities

  • To provide a high quality administrative service to a multidisciplinary team
  • Within a team framework provide a high quality comprehensive support function ensuring effective standards of quality and equality to team of workers, including an effective responsive reception service to callers to office
  • To provide an effective and efficient quality word processing support service, utilising software including Microsoft packages. And to carry out audiotranscriptions.
  • To support the team with all administrative tasks around team meetings including senior managers team (SMT) meetings (diary management/minute taking/action logs)
  • To be responsible for initiating, developing and maintaining client record systems ensuring all of the statutory and organisational requirements for their maintenance, safekeeping and disposal are adhered to at all times.
  • To be responsible for the day to day processing of an effective and sensitive customer service when dealing with direct contact with Service Users, telephone calls and correspondence, (some patients may be emotionally vulnerable/distressed. Receiving andrecording accurate and concise messages, ensuring messages are forwarded on appropriately and timely.
  • To maintain information system detailing the whereabouts of department members during working day, relaying details appropriately and timely.
  • To be responsible for the minuting and typing of minutes, this may include the coordination of invitations, collating of agendas and relevant paperwork for attendees as required.
  • To be responsible for ensuring that all case files related to clients are filed and stored in accordance with agreed organisational policies and legal legislation.
  • To enter patient data accurately into computer system within agreed Trust deadlines
  • To maintain adequate levels of information, resource materials, office sundries and supplies for the team.
  • To photocopy, fax and distribute document's as appropriate
  • To sort and distribute internal and external documentation
  • To be responsible for the maintenance of office equipment and the environment, ensuring health & Safety requirements are adhered to at all times.
