Description

An exciting opportunity has arisen for an experiencedProject Officer/PA to join a large NHS body based in South Wales on a temporary basis, with the view of becoming permanent.

You will provide comprehensive programme, project and administrative co-ordination and support to the Training Team. You will plan, organise and, where appropriate, lead aspects of, complex Quality/Health & Safety/IT & LIMS/Training activities.

Description

The key responsibilities of the Project Support Officer include:

  • Minute taking
  • Setting up meetings, supporting in creating agendas, sharing communications with service
  • Project support helping to plan, monitor work and help coordinate team activities between Standardisation/ IT/ Quality and where supporting relevant work the wider service
  • Maintain risk log and action logs
  • Manage Standardisation documents on iPassport including creating new documents, creating updates, working with quality to set up and manage competency groups
  • Diary management for Standardisation team
  • Chair, Deputy Chair, Senior BMS
  • Provide and receive complex and sensitive information orally, in writing and electronically to inform work colleagues, the public and stakeholders. This may include confidential patient or programme data.
  • Communicate and liaise effectively with different directorates, divisions and stakeholders as directed and required on a range of complex topics. This could include senior colleagues and those from external agencies
  • Building and managing delivery plans in line with programme activities and requirements.
  • Liaise, develop and build relationships with effective lines of communication with key partners.
  • Represent Team at internal and external meetings (including making presentations) when appropriate.
  • Draft evidence reviews, reports, communications and technical support resources on behalf of Team, ensuring a high standard of presentation.

Profile

The successful Project Support Officer

  • Detailed knowledge and experience in management of project/programme and office procedures.
  • Experienced minute taker
  • Experience and knowledge in use of advanced MS Office suite and geographical information systems.
  • Proven experience of working autonomously and without supervision, using own initiative, but with access to advice when necessary.
  • Experience and understanding of project/programme methodology and monitoring.
