Job overview


It is the responsibility of the Stores Co-Ordinator is to carry out all tasks required to control and monitor catering stock items.

This includes placing orders and ensuring food & beverage and other catering items are ordered and delivered in time for patients' food production.

All items are for distribution to wards and departments in NUH.


The post holder will be responsible for liaising with Catering Management team, the Food Production team and Food Service teams as well as staff at ward level for the supply and control of catering items.


The post holder will ensure all food and beverages orders are placed in line with the catering ordering systems, and in time for production & distribution in order to maintain service to our patients.


The post holder will be responsible for maintaining accurate documentation, records and information for all catering orders & deliveries to support all financial aspects and food safety management of the service.

Main duties of the job


The post holder will be required to provide an efficient, cost effective, independent and courteous service to a dedicated specialty whilst at the same time working as part of the catering stores team.

This will include the management of stock within specialty to agreed levels and the processing and booking in of orders.

Effective and timely communication with various parties to include specialty areas, stores, suppliers and NHS logistics is essential.


The coordinator will at all times provide support to food production team in the provision of high quality, customer-centred care.

40% Placing orders - to use various catering ordering systems and documentation to place orders, record all catering deliveries and source new/alternative products in line with agreed specifications.

This includes working with the Catering management team to ensure all items needed for the weekly production plan are ordered accurately and are delivered in time for each day's production.

This work is office based and includes computer and phone use.


30% - Maintaining stock levels & stock checks - to co-ordinate and carry out stock checks for catering on both sites so that there is accurate information for placing orders.

To carry out daily checks to ensure all deliveries have been delivered to schedule.

  • Processing deliveries
  • To ensure deliveries are processed in line with the NUH Food Safety Management System. To record delivery notes in accordance with the Trust's Finance Team instruction and ensuring these are sent to the EFM Finance team.
15% - Monthly stock take, attending meetings and other responsibilities to control and record stock

Person specification

Training and qualifications

Essential criteria

  • Food Safety level 2 or equivalent
  • Food Standards Agency Allergy Food Allery & Intolerance Training Certificate
  • Must have a good understanding and comply with the FSMS & HACCP system.
  • NVQ Level 3 in storekeeping or equivalent level of knowledge and experience equating to 2 years' experience working in a food production environment.
  • Working knowledge of computers/stores booking in systems.
Desirable criteria

  • Supervisory/Team Leader Qualification
Experience

Essential criteria

  • An understanding of storekeeping procedures
  • Use of ordering systems including online and spreadsheets
  • Catering and cleaning equipment knowledge
  • Able to competently use Microsoft products including Word, Excel, Teams & Outlook
Desirable criteria

  • Use of NHS ordering systems
  • Use of an electronic meal ordering system
Communication

Essential criteria

  • Verbal communication skills (i.e. explaining, persuading, influencing, advising, motivating, training).
