Business Support Officer, Design and Construction

Reports to:
Head of Workshop


Salary:
£12.63 per hour


Contract:
Permanent, 20 hours per week, Monday - Friday, 9.30am-1.30pm, but can be flexible

The Role

Summary of Role:


Role Responsibilities and Tasks:


  • Work professionally and collaboratively as part of the TR2 Design & Construction Team, ensuring high quality and efficient administrative assistance is provided across the organisation at TRP's Production & Learning Centre at TR2, Cattedown.
  • Manage timesheets for staff, ensuring accurate recording of hours worked on specific projects.
  • Handle purchasing tasks, including ordering supplies and materials.
  • Assist in scheduling activities such as health surveillance appointments and training appointments, coordinating with various departments to ensure smooth operations.
  • Source necessary equipment and materials for projects.
  • Organise and maintain maintenance schedules for equipment and facilities.
  • Document reports and updates, maintaining clear and concise records.
  • Coordinate travel arrangements for team members, including booking train travel as needed.
  • Input information into reports and databases accurately and in a timely manner.
  • Provide administrative support to the wider team as required.
  • Maintain the COSHH (Control of Substances Hazardous to Health) register and populate COSHH assessments with information from Material Safety Data Sheets (MSDS). Training will be provided for this. Previous experience is not required.
  • Take personal responsibility for time management to ensure tasks can be completed within agreed timescales.
  • Maintain a positive 'outcome focussed' working attitude, using initiative to proactively complete a high standard of tasks to assist the TR2 Design & Construction Team and the wider organisation whilst remaining calm and professional in what is often a fastpaced environment.
  • Look for and use initiative to implement ways to improve operational practices in order to work in the most productive manner possible, within the role and in the wider department.
  • Maintain a professional level of verbal and written communication skills in all that you do and work in collaboration with colleagues at all times to ensure a professional service is maintained.

Requirements:


  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Familiarity with Basecamp3 or similar project management software.
  • Strong organisational skills with excellent attention to detail.
  • Ability to multitask and prioritise tasks effectively.
  • Excellent communication and interpersonal skills.
  • Previous experience in administration or related field is desirable but not essential.
  • Flexibility to work parttime hours with the possibility of occasional adjustments based on company needs.
