Description
Ensure that an excellent level of customer care is delivered to patients and members of the public

  • To receive queries from General Practitioners, patients, relatives and carers and ensuring appropriate responses and confidentiality
  • Ensure that the administration of the department is efficient, effective and responsive (e.g. dealing with queries, correspondence and daytoday issues)
  • To ensure that patient case notes are maintained, insuring any incoming correspondence is sent for scanning into the patients notes
  • To coordinate clinics and book patient follow up appointments
  • To receive post and undertake follow up action as required
  • Respond to ad hoc requests for patient information from colleagues
  • Collate information of cancellations and ensure patients rebooked in a timely manner
  • To transcribe from dictation, ensuring letters are grammatical and wellpresented
  • To prepare and circulate information about Consultant absences, giving instructions regarding cancellations or amendments to clinics and operating lists
  • Maintain and promote effective communication both verbally and in writing with all members of the multidisciplinary team and other wards or departments, including formal and informal presentation of information relating to the service.
  • To demonstrate politeness, courtesy and sensitivity in dealing with patients/clients, visitors/relatives and colleagues, maintaining good customer relations.
  • Receive post, deal with routine correspondence, and undertake followup action as directed by the line manager or clinical team.
  • To receive and respond to queries from external parties, patients and relatives, or other departments, escalating more complex / clinical queries to the relevant member of the team.
  • Ensure clinical administration is dealt with effectively, including those matters where liaison with other departments, hospitals or services is necessary.
  • To act as part of the wider multidisciplinary team, including clinicians, nurses, therapists and other clerical and professional staff.
