Office Assistant
£25 p/h plus holiday
6 months rolling contract

My client is a global investment banking firm based in London. They are looking for an Office Assistant to join them on a Temporary Rolling Contract Monday - Friday.

This role is responsible for supporting both the Assistant Management Team and Expense Management team with daily administrative tasks as well as longer-term ongoing projects.


What you'll do:

  • Provide Assistant support for Assistant & Expense Management team
  • Implement and control appropriate system access for bankers and assistants
  • Assist in the review of admin processes; implementing changes where required and suggesting efficiencies
  • Scheduling and assisting with training of assistants; new starter and ongoing developmental training including the Expense Topic Sessions Maintenance of Assistant, General Admin and Expense, Jive Site
  • Assist with new initiatives from the Assistant/Expense Management team
  • Create key support documents/guidelines to share with admin and banker population; Best Practice/Documentation/Powerpoint slides/updates
  • Production of reports, interpreting data
  • Processing expenses and invoices to support the wider team
  • Assist with overdue expense reporting and followups
  • Design and manage survey feedback
  • Become a Super User on the Expense, Travel and CRM systems
  • Design and produce quarterly newsletters

Who you are:

  • Excellent time management skills and the ability to multitask are essential to manage the volumes of data managed by the team
  • Experience in database management and Excel are essential, together with accurate data entry
  • Ability to liaise with all levels of management and professionals within IBD/GCM and build relationships with business partners in HR, IT, Accounts Payable, Travel, Compliance and Risk
  • You have the ability to act as a trusted resource; maintain a high level of integrity and discretion in handling confidential information
  • Service Minded Attitude: patience, active listening, and problem solving in a fastpaced "customer" oriented environment
  • Proficient in Microsoft Office Suite including Excel, Teams, One Note
  • Strong written and verbal communication required
  • Full training on systems and policies will be provided
