Temporary Facilities Services Assistant

Pay rate £10.79 per hour PAYE Provide Facilities Services support function across the two main council buildings in Scunthorpe and Brigg.

Consisting of 'soft' facilities services such as business reception, post, processing electronic requests, financial and general administrative support, in an efficient and professional manner Key responsibilities:


  • Provides a high quality, courteous, initial point of contact for receiving all visitors to the main council buildings, Church Square House and Hewson House. Ensures visitor compliance with building security and fire management procedures while in the reception area. Some evening or weekend working may be required to support the needs of the business.
  • Sorts and processes incoming and outgoing paper and electronic mail. Using mail room facilities including a franking machine and folder/inserter machine.
  • Undertakes audiotranscription including PACE recordings from interviews conducted under caution. Completes typing and wordprocessing requests submitted through the services electronic workload management system and monitors and maintains centralised stationery supplies.
  • Files, maintains and archives documentation via electronic document management systems. Maintains databases and produces management information as directed. Completes photocopying, printing and scanning using centralised multifunction devices.
  • Processes financial requests submitted electronically by service users including the Policy and Resources Cabinet Member 19th September 2012, Updated 6 th October 2017 Page 2 of 10 Grading Job Description and Employee Specification raising of orders for goods, services and works, processing of invoices using the council's financial management system. Carries out cash handling of imprest claims and banking bag collections in line with council and team financial procedures. Receipts money and completes and submits electronic income return to finance team.
  • Processes requests for travel and accommodation using the electronic travel booking system.
  • Carries out Facilities Management tasks within the buildings including dealing with building fault reports, conducting building tours for new staff including fire management information, and use of the workspace and facilities. Allocates lockers, produces employee identity cards, staff parking permits and other permit/access cards. Allocates and monitors temporary access cards and resolves or reports faults with office equipment.
  • Manages meeting room bookings and monitors and maintains meeting room facilities and resources.
  • Attends team and building meetings including taking minutes when required.
  • Taking part in any data collection exercises or pilot schemes to support the implementation of new innovations or technologies
