Description

Our long serving Administrator is retiring and we are looking to recruit an Administration & Compliance Officer to join our friendly Practice team in Romford.


The Administration & Compliance Officer we are looking for must have good communication skills, attention to detail, a 'can-do' attitude and is able to deal with both patients and surgery staff face to face and over the telephone in a professional manner.

The role is for 25 hours per week Monday to Friday from 9.30 am till 2.30 pm.

This is a broad ranging post of duties.

Duties can include but are not limited to, the processing of PMAR, SARs, patient registration (electronic and hard copy) in a timely manner, liaising with team members and external agencies such as primary care and health authority in accordance with current policies.

Assisting the Deputy Practice Manager with compliance duties.

The following are the core responsibilities of the administration & compliance officer. This list is not exhaustive.

It covers areas that are more planned than responsive or service driven while, at the same time, often requiring on the spot problem solving (with subsequent analysis and strategic follow up), quick responses and an operational style using initiative, a practical approach and the ability to communicate well and work as part of a team.

b. Process Read code data on EMIS

c. Assist Process requests for information i.e. SARs, insurance / solicitor's letters and DVLA forms and keep record of incoming and outgoing report requests

e. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

f. Support registrations administrator with paper and online registrations and PCSE enquiries

g. Collecting and collating Friends and Family Test responses and submitting via CQRS

h. Ensure that the clinical waste and general waste consignment notes are received and filed in a timely fashion.

i. Purchase order, delivery, stock up storage rooms, monthly stock take

j. Maintain adequate supplies of office stationery and ensure printers and copier machines are refilled with paper at all times

k. Support all clinical staff with general administrative tasks as requested

l. Display a positive 'can-do' attitude at all times, be a team-player

m. Prepare staff birthday cards each month and get them signed by the partners. Distribute the cards

n. Assist with staff welfare

o. Assist the Deputy Practice Manager with Health and Safety compliances for all sites that NSMC is operating.

p. Maintain a clean, tidy, effective working area at all times

q. The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by your changing role within the organisation and the overall business objectives of the organisation

In addition to the primary responsibilities, the administration & compliance officer may be requested to:
a. Take minutes in administrative and clinical meetings as required

b. To open, date and distribute daily mail, including dropping off outgoing and recorded delivery post. Franking mail.

c. Train staff on related work to increase awareness and knowledge

d. Any other duty as allocated by Practice manager, Deputy Practice manager or Partners

f. Assist management of MHRA Alerts - ensuring the timely storage and dissemination of information. Liaise with the Lead pharmacist and lead nurse.

g. Assist the HR Administrator with professional compliance registers, ensuring DBS checks are carried out and compliant.

h. Assist the HR administrator with all other clerical and administrative duties during absence

i. Assist the secretary team as and when required
