PIMCO Human Resources is seeking a Recruiting Operations/New Hire Onboarding Associate to join the Total Rewards - People Operations team.

This role will be responsible for for coordinating the logistics and execution of the new employee pre-hire onboardingprocess, maintaining and updating internal recruiting workflows and documentation, and managing troubleshooting support, training, reporting, and data management in the Applicant Tracking System (ATS).

The Recruiting Operations Associate with be an activeparticipant in strategic projects and support PIMCO's Talent Acquisition team daily to creatively identify and execute ideas for workflow optimization by leveraging systems driven solutions.

This role has the opportunity to further increase technical expertiseand gain exposure to PIMCO's Human Capital Management (HCM) system, Workday.

Additionally, the Recruiting Operations Associate will be a valuable contributor in the team's focus on continuous improvement by finding opportunities and supporting implementationof process and technology enhancements.


RESPONSIBILITIES

Core HR Foundational Knowledge:


  • Responsible for onboarding of all new hires; including but not limited to:
  • Communicate with new hires through the onboarding process
  • Partner with new hire and external vendors through visa sponsorship
  • Process and adjudicate background checks
  • Manage new hire paperwork at point of offer acceptance including offer documents, Right to Work checks, and Legal & Compliance forms, and escalate disclosures for review when applicable
  • Partner with internal stakeholders to ensure all necessary actions are taken prior to the new hire start date including, but not limited to: preparation of an onboarding plan, coordination of logistics for training assignments, collaboration with TalentDevelopment team on new hire orientation training, assistance with arranging technology for remote employees, management of regulatory requirements for employees falling under SMCR in partnership with Legal and Compliance, etc.

Data and Systems:


  • Complete relevant onboarding processes in PIMCO's Human Capital Management (HCM) system, Workday
  • Provide daytoday support including ATS training and troubleshooting of issues, as well as creating and maintaining any supporting documentation
  • Execute recurring audits and reviews of ATS data to ensure consistency, timeliness and integrity globally

Continuous Improvement:


  • Design, review and oversee talent acquisition business transactions across HR systems and ensure data quality is maintained
  • Manage any new hire onboarding process updates and implement new processes across broader HR teams in partnership with Recruiting Operations team

  • Identify process improvements and areas where recommendations to implement efficiencies in recruiting operations can be made

Problem-solving:


  • Frame potential solutions to HR systems problems and challenges and create efficiencies through understanding of system capabilities

Employee Experience and Projects:


  • Utilize project management tools to organize and manage workload and help the people Recruiting Operations team achieve faster success
  • Work closely with crossfunctional HR teams to provide People Operations support
  • Interact with the business and global HR teams as applicable to provide recruiting operations support
  • Take on and be part of projects related to role and provide meaningful contributions

Communication:


  • Provide consistent follow up, guidance and timely responses to HR colleagues and employees, managers, and business leaders
  • Communicate and collaborate effectively with employees, various stakeholders and team members
  • Develop credibility and trust and build mutually respected relationships with the People Operations team, across global HR colleagues, employees and other stakeholders

REQUIREMENTS - Bachelor's degree from an accredited college/university

  • Excellent technology skills, specifically Microsoft Word, Excel, and Outlook

Knowledge and Skills:

  • 2+ years experience with Recruiting Operations
  • Prior experience in Workday (preferred)
