We are looking for an enthusiastic, self-motivated, and caring individual to join our Norwich Place Admin Team.

The purpose of the role is to support the Community Access Team (CAT) who are based at the Norfolk and Norwich University Hospital.


This is an exciting opportunity to make a real difference to acute hospital pressures and support patients being safely discharged to our Norfolk wide community inpatient Units.

This is a full-time, band 3 substantive post, based at the Norfolk and Norwich University Hospital.


This administrative role is required to provide business support, this will include taking referrals for the service, attending team meetings and minute taking as well as comprehensive data inputting for all elements of the service.

The role will include close liaison with community clinical staff across all providers, including acute based colleagues, as well as maintaining and updating trackers and logs.


Being able to demonstrate excellent organisational and effective communication skills is essential, along with being able to work collaboratively as part of a team, using your own initiative, and working to deadlines.

Main Duties & Responsibilities
To carry out and prioritise a variety of administrative and clerical duties and undertake other general office duties (prioritising and generate own workload), which will include:

  • Dealing appropriately with all telephone enquiries which may on occasion be upsetting.
  • Using a range of software programmes to produce, maintain and distribute documents, including reports, spreadsheets and databases which may include medical terminology.
  • Researching appropriate websites, downloading and circulating documents, as requested.
  • Work in a fast paced office environment, working as a team with a group of Nursing/Health Professionals on a daily basis. Communicating effectively to proactively find information.
  • Identify and report areas within working processes and procedures that could improve service delivery.
  • To communicate with colleagues and clients at an appropriate level providing clear information and guidance. Exercising tact and judgement in dealing with and resolving routine enquires, taking accurate messages and ensuring these are passed to the relevant person in a timely manner.
  • Inputting onto various databases and systems including SystmOne, PAS, Powergate, Spine Portal and Microsoft Teams, to ensure spreadsheets hold current patient information which Health Professionals rely on for its clinical importance to support information regarding the Community Access Team caseload.
  • To generate regular daily reports detailing the current status of the Community Access Team's caseload, a summary of Community Bed availability and those beds booked and allocated, sharing accurate information, liaising and reporting to NCH&C System Operations as well as the NNUH and other Acute units.
  • To liaise with Ward Clerks and Health professionals at Community Units, sharing information and supporting as required, using Ward View to monitor bed availability, to ensure the smooth and safe admission of patients from Acute to Community units.
  • To be responsible for the efficient use of office equipment and supplies, monitoring and maintaining stock levels, requisitioning/authorising and receipting goods and services on the NHS procurement system, Powergate, and carrying out research into goods and services as directed.
  • To support the Service Lead and Team Leader with administrative and adhoc tasks and taking formal minutes or notes at meetings as and when required and to ensure a professional, tidy and well-equipped office space.
  • To report maintenance, cleaning, health and safety and other site issues in line with current procedures keeping the line manager/site manager informed at all times.
  • To implement policies for own work area and propose changes, as necessary and demonstrating required duties to new starters.
  • Provide cover in other departments, including Reception, during periods of absence, as directed by the Admin Team Leader. This may require travelling to other sites.
  • It is the post holder's responsibility to ensure that they have undertaken all mandatory training, in line with Trust policies and procedures
