Job Summary
To provide a high-level expertise in administrative, secretarial and office management to support the Estates Department in a way that is responsive to their needs and contributes to the effectiveness of their roles.
Key Responsibilities
- To act as the first point of contact with a wide range of people at all levels within and outside the Trust e
g:
- Trust staff/managers at all levels.
- Staff and volunteers.
- Sector leads / Operational Leads
- Suppliers/ Contractors/ Service providers.
- Other Ambulance Services/Trusts.
- To have an understanding of the Estates Department workload and its complexity.
- To make and receive telephone calls on behalf of the Estates Department from or to members of the public, staff, managers, MP's, or representatives of other agencies.
- To work autonomously to ensure the effective and efficient delivery of all administrative processes.
- Manage, coordinate, prepare and distribute documents for Senior Management meetings including minute taking as required.
- Skilled in Microsoft Office and internal trust specific software packages to enable internal and external presentation, adhering to standards of corporate style.
- Maintaining the department's "S" Drive to ensure documents are easy to find; and managing secure and confidential information as needed.
- Ensure all documentation is completed and verified in accordance with Trust procedures and protocols.
- Led on the production of new Verex access control cards and distribute to operational staff
- Amend/Add or Delete staff names from the Verex database
- Provide an effective interface with a range of people which involves ensuring that the interface portrays a positive image of the Trust and that account is always taken of the political sensitivity, and often the very confidential nature, of the work involved.
- Work collaboratively with members of the Estates Senior Management Team in the achievement of agreed objectives and across the full range of duties to achieve key operational standards and strategic objectives, and at times, where necessary use persuasiveand delegated authority.
- First point of contact for Estates Department for Verex related issues.
- Work collaboratively with other PAs and administrators across the Trust to ensure peaks in workloads are shared and high priority tasks are completed. Work flexibly to support all the Trust's directors who may require support if temporarily working at anothersite. move this section.
- Develop and maintain effective and supportive relationships within the Trust and externally.
- Responsible for assessing highly confidential and complex information, at times dealing with distressing or contentious situations, requiring tact sensitivity and diplomacy, to ensure positive resolutions.
