JAB Recruitment are currently looking to appoint an Operations & Admin Coordinator for our Aberdeen based Oilfield Services client.
Job Purpose:
- To perform operations service, personnel, material logistics support to our client's project teams & customers in Denmark
- Organising and upkeep of travel rota and communicate flights with client logistics for offshore booking.
- Assist in recruitment and selection of contractors.
- To liaise with all staff and customers to ensure the seamless service delivery.
- To liaise with the customer base of the Company and effectively communicate with them on a regular basis, answering any queries that arise in a timeous manner.
- To build relationships with all key customers on the phone and where necessary in person.
- To actively participate in ongoing upkeep of ISO 9001 quality management system.
- To interface with outside vendors for equipment and consumables required for project delivery.
- To ensure all duties are carried out in line with company procedures.
Duties:
- Assist project managers and engineers to:
- Facilitate new job creation, cost tracker, raise MR's, PO's and contracts for contractors.
- Administration as required processing timesheets and contractor liaison as required.
- Document control.
- Assisting with bid and quotes.
- Set up contractors, recruit where required.
- Ensure competence profiles are up to date.
- Logistics including interface with customer arranging UK and international travel, transport etc.
- Organising pre and post job meetings.
- Ordering and management of PPE.
- Resourcing and coordinating jobs.
- Adhere to the company's policies and procedures.
- Ensuring the job folders are fully up to date.
- Assisting the project manager for cost tracking.
- Ensure all servicerelated quality control procedures and processes are followed.
- Liaising with the Operations Manager on a day by day basis to ensure quality and service delivery is being maintained.
- Highlight any risks and work as a team to provide a solution to any service delivery or QHSE issues.
- Assist with the identification of customer's requirements, new enquiries, quotes and commercial management of projects.
- Assist with the development of the maintenance procedures for the base, equipment and service lines.
- Providing time estimates for work that will feed into budgets.
- Responsible for ensuring the mandatory compliance functions at base are upkept such as fire log books, any inspections, reception, maintenance, QHSE walk through.
- Any other duties required in line with the needs of the business.
- Travel to client/customer sites with potential for overnight stay.
- On call duties.
Qualifications:
- A Higher national qualification in administration or relevant 6+ years experience in a logistics and or operations support environment.
- Basic Knowledge/experience in oil and gas field services.
- Basic Knowledge or experience with coordinating oil and gas field services & campaign works is an advantage but not essential.
- Excellent knowledge in Office Suite (Word, Excel, PowerPoint).
- Valid drivers' license.
- Valid passport to travel through E.U. counties

Process-oriented: Has potential and ability to understand technical scopes and experience running shutdown and maintenance scopes for oil and gas industry is advantageous.
