Shore Medical is a GP Super Partnership with 6 practices across Poole and Bournemouth.

We have a friendly and supportive team of more than 200 staff, with over 40 GP's, Pharmacists, Paramedics, Nurses, Mental Health specialists and our range of administrative staff.

The Practices in the Partnership are:

  • Lilliput Surgery
  • Poole Road Medical Centre
  • Wessex Road Surgery
  • Heatherview Medical Centre
  • Fernside Surgery
  • Parkstone Tower Practice


Situated in beautiful Dorset with the prestigious Blue Flag beaches of Bournemouth and Sandbanks, the Jurassic coastline and a wealth of attractions and countryside to visit we are lucky to be in such a fantastic area.


We are seeking an experienced Medical Secretary to provide accurate, efficient and punctual medical secretarial/ administration support to Partners, GPs, Registrars and Practice Nurses at our
Heatherview Medical Centre, Dorset, on a permanent, part-time basis.

(35 hours per week) Monday to Wednesday 9am-5pm & Thursday 9am-2pm and Friday 9.00am-5.00pm


Job responsibilities:


  • To provide a high quality secretarial/ administration service to the Practice and Patients.
  • Efficient, fast and accurate, processing and prioritising of referral letters, from both NHS eReferrals and the private sector, using a digital dictation system.
  • Reconciling transcriptions on return from the external audio transcription provider.
  • Effectively operate the eReferrals computer system including requesting eReferral appointments and monitoring eReferral status.
  • Update patient records in a timely and accurate manner.
  • Reconciliation of medical notes for new patients including summarising and coding.
  • Coding of any incoming Safeguarding documents
  • Keep GPs informed of updates as necessary.
  • Deal with patient queries regarding referrals, including eReferrals.
  • Monitor 2 Week Wait referrals.
  • Liaising with healthcare professionals, staff members, patients, solicitors and other external organisations to assist with the resolution and administration of queries.
  • To help develop new ways of processing incoming paperwork and correspondence, including coding.
  • Maintenance of Practice directory to include consultants, chiropodists and other services available outside the Practice.
  • Answering the telephone and assisting receptionists with queries as required.
  • Franking post and taking to Post Office, along with 'Signed For' parcels.
  • To work confidentially at all times.
  • To undertake additional tasks as required by the line manager or GP Partners.

EDUCATION/EXPERIENCE:


  • Minimum 1year Medical Secretary experience
  • Experience of Dictation/Lexacom
  • Proven experience in a GP/NHS department environment would be highly desirable.
  • Educated to high standard of GCSE in Maths & English language
  • Strong IT skills in MS Word, Excel and Outlook. Knowledge of SystmOne is desirable.
  • To have tact and diplomacy in direct and indirect emotional circumstances
  • Able to get on with others and be a teamplayer in a sometimes, pressurised and timesensitive environment

Job Type:
