Job Summary:

  • Regularly liaise with senior managers to understand the administrative requirement of the service, responding to changing needs, so as to deliver operational excellence.
  • Ensure that work is allocated appropriately across the Business Support staff so the administrative requirements of the service are met in a timely and accurate manner
  • Manage and support the Business Support officers / assistants
  • Develop the learning and skills of the business support staff
  • Responsible for the quality of work produced by the business support staff
  • Responsible for being creative in designing spreadsheets and supporting all Early Intervention Services with all their IT queries / problems and contribute to service development by providing information and ideas for future services
  • Maintenance of manual and electronic records and systems ensuring that accurate and appropriate information is available to Managers when required.
  • Responsible for the accurate input of data onto CareFirst including scanning via the document management tool CareStore. Assist in the extraction and reporting of information from both computerised and manual systems.
  • Responsible for ensuring that stationary stocks are maintained
  • Raise purchase orders for goods and services on the Council's IT system 'Oracle iProc' on behalf of managers/team.
  • Take part in regular supervision including (Discuss) the Council's Personal Appraisal Development Scheme and undertake training as appropriate. Attend team meetings.
  • Participate in individual and team supervision sessions.
  • Have an understanding and commitment to Bromley's Equal Opportunities Policy.
  • Undertake any other duties commensurate with the level of the post, as required to ensure the efficient and effective running of the Department / Section.
SKILLS & ABILITIES

  • Good communications and Customer Service skills
  • The ability to manage and supervise staff
  • High level of IT literacy with the ability to maintain computerised information systems including data input. Including a degree of proficiency in Care First
  • Good keyboard skills.
  • Ability to produce documents in word in a variety of different formats i.e. letters, reports
  • Ability to extract, analyse and report information from both manual and computerised systems.
  • Be able to use and adjust to bespoke computer software such as Oracle iProc
  • Ability to organise and prioritise workload effectively and methodically
  • Ability to use initiative, and to be selfmotivated.
  • Flexibility within an office environment
  • Commitment to teamwork.
  • Demonstrate appropriate understanding, knowledge and skills in valuing diversity.

KNOWLEDGE

  • A good working knowledge of word, excel and outlook.
  • Basic knowledge of the work of social care departments and its service users
  • Awareness and commitment to Equal Opportunities Policy.

EXPERIENCE

  • Extensive experience providing administrative support in an office environment.
  • Ideally some experience of supervising others.
  • Extensive experience of producing meeting agendas, minuting meetings and writing up accurate notes and actions.
  • Good working knowledge of Microsoft Software packages.
  • Experience in resolving IT queries.
  • Experience working in a health and social care environment is desirable.
  • Demonstrate appropriate understanding, knowledge and commitment to valuing diversity.

QUALIFICATIONS

  • Educated to GCSE level. Evidence of further education would be desirable.
  • Evidence of skills in using computer technology in an office setting or an IT qualification such as ECDL.
A qualification such as an NVQ in Customer Service or Administration or able to demonstrate equivalent skills.
