Job summary:


The eRostering Team at UHB manage and maintain the electronic rostering systems for our network of over 24,000 clinical and non clinical staff within the Trust.

The purpose of this role will primarily be to provide first line support to all users of the electronic rostering systems.

Responding to and resolving problems and escalating where appropriate, running user training sessions, and engaging with users.

You will embrace the challenge of working in a highly demanding environment and as the first point of contact, excellent customer service skills are paramount.

A flexible working attitude is essential, along with the ability to work to ever changing demands. The workload is varied and therefore your ability to prioritise your work with mínimal supervision as well as working as part of a team is essential

You should exhibit a willingness to work flexibly across the week which may include some weekends or bank holidays. The team work a hybrid pattern working at home and on site each week.

UHB is a multi site organisation and the team are expected to work across all sites as required.


Main duties, tasks & skills required:
Support Desk

  • To act as first line support for users investigating issues or queries raised by internal users and raise remedy requests as appropriate and communicate the advice in an easy to understand manner.
  • Support and advise users in creating effective rosters within the agreed Trust KPI's.
  • Maintain an uptodate knowledge of the relevant parts of the Terms and Conditions of Service of all staff including working hours legislation and Trust policies and procedures that are relevant to the use of the eRoster software.
Payroll/ESR

  • Create weekly T&A (time and attendance) and absence files for ESR ensuring data is accurate before sending files.
System/Reporting

  • Create rota and roster templates using the eroster software to agreed deadlines.
  • Update all aspects of budgetary information and templates on the system as necessary.
Training/Rollout

  • To coordinate and plan training for new and existing users of all levels.
  • To advise and train all levels of staff in the use of the eroster system.
  • To assist in the rollout of eRoster to all staff.

Qualifications:


Essential:


  • Good General Education (eg. GCSE English and Maths A-C GCSE LEVEL 9
  • Business Administration NVQ level 3 or equivalent experience in an Administrative environment plus specialist functional knowledge in order to deal with nonroutine issues such as problem solving for area of work.

Experience:


Essential:


  • Knowledge of administrative procedures and systems, the majority of which are nonroutine.
  • Customer service experience
  • Experience of working in an Administrative role with a proven track record of problem solving
  • Good Organisational skills
  • Able to use own initiative and deal with the unpredictable
  • Able to work under pressure and to multitask
  • Able to work to tight deadlines.
  • Good understanding of the Data Protection Act and how it applies to staff records and information
  • Must be able to demonstrate an understanding of equality and diversity

Desirable:


  • Experience of working in a busy environment
  • Experience of working in Healthcare
  • Experience of electronic roster type systems.
  • An understanding of NHS pay and conditions
