Role/ Department:

Under direct supervision responsible for providing administrative support to managers or other partners in the sales department.
Previous administrative supportive experience or completion of professional administrative support training is required.


The Key Responsibilities of the Role

  • Provides administrative support to senior managers or other partners in the sales department
  • Composes and creates documents, spreadsheets and/or presentations
  • Maintains and organizes paper and the data bases files
  • Ensures confidentiality
  • Handles and confirms travel arrangements and processes travel expense reimbursements
  • Process invoices and manages internal process
  • Diary organisation and management for senior managers in the team
  • Supports the arrangement of internal/external meetings/training and makes necessary room bookings and associated refreshments
  • Helps with printing and binding of sales materials; internal and externally
  • Supports the team for help with the management of events/conferences
  • Manages the rota for the weekly sales meeting and communicates with internal speakers, sharing materials ahead of the meeting
  • Works on special projects, such as gathering, inputting and compiling information for reports as required by manager or other partners in the department
  • May track or monitor expenses for the department
  • May greet or assist prospects and/or vendors
  • Responsible for identifying and resolving problems within established guidelines
  • Expected to use some initiative but refer more complex problems to supervisors/experts
  • Works effectively as a team member but also independently
  • Manages multiple pieces of work efficiently and effectively
  • Maintains strong relationships with our EA/PA/Admin assistants across the organisation

Skills/Qualifications

  • Good oral and written communication skills are required
  • Basic Functional / Industry Knowledge is preferred
  • Analytical and problem solving skills are required
