About the role
Balfour Beatty are currently looking for a
Personal Assistant to join our Major Projects team to work in
Canary Wharf, London on a
12 Month Fixed Term Contract


Within this role you'll provide a wide range of administrative and analytical support to Directors and other Senior Leadership team members where appropriate.


What you'll be doing
As a
Personal Assistant, you will have the following accountabilities:

  • Undertake multi-diary management and plan schedules in diaries to optimise the working day of allocated executives.
  • Arrange meetings/ conferences/ team meetings / functions as required & ensure all facilities are organised (lunch/ refreshments/visitor security passes/ meeting room & VC facilities)
  • Book UK and overseas accommodation for executives ensuring compliance with policy
  • Prearrange timings / dates for expected board meetings/ booking of accommodation and flights.
  • Monitor Executives diary movements with incoming meetings and be flexible to rearrange hotels and train travel as their diaries move and change at short notice.
  • Foster excellent working relationship with other EA's in order to collaborate and coordinate diaries. And support the work of other Executive Assistants during periods of absence or unexpected high volumes of work activity
  • Submit business expenses and mileage claims on behalf of Directors.
  • Process incoming subcontracts on behalf of Managing Counsel ensuring appropriate authorisations and witness signatures are in place.
  • Support processing of invoices using Oracle R12 & ensure prerequisite approvals via Tradex are in place.
  • Provide general administrative support to Work Winning Team & Estimating Team travel, accommodation bookings, purchase orders, site visits

Who we're looking for

You will have the following:

  • Previous experience of working for a senior executive ideally at board level
  • Expert user of Microsoft, PowerPoint, Word and Excel
  • Highly organised and able to work on own initiative with limited supervision
  • Discreet and confidential and able to handle issues with great sensitivity
  • Ability to engage and build effective relationships
  • Strong communication and influencing skills
  • Demonstrable ability to prioritise and manage conflicting priorities during busy periods
  • Is able to demonstrate a logical, proactive approach
  • Possesses a high degree of attention to detail
