Description
To assist the Management team in the management of the administration element of the contract and general administration.

To ensure the timely and accurate completion of the contract reports.

To multi-skill within the team.

To analyse data stored within the Concept CAFM and Track Record Compliance system and produce reports


Principal Duties and Responsibilities

  • To assist in the provision of administration support to all managers to ensure they can carry out their role effectively.
  • To assist in the completion and development of the reporting structure, ensuring that the required timescales are met.
  • To analyse complex data and produce reports in a meaningful format
  • To analyse data stored within the Concept CAFM and Track Record Compliance system and produce reports, responding to client and ISS audit/compliance requests.
  • To ensure timely and accurate filing of paperwork e.g. PPMs and breakdowns.
  • To liaise with contractors to ensure contractor control information is kept up to date.
  • To raise purchase orders for managers when required ensuring that the information is recorded on the period balance sheet.
  • To maintain and enhance effective working relationships with the client, ISS colleagues and other interested organisations and individuals.
  • To assist managers in ensuring that quality monitoring, activity reporting and performance monitoring is properly implemented and maintained.
  • To undertake project work as required by the Administration Supervisor.
  • To maintain a healthy, safe and secure working environment in line with current legislation and company policies and procedures.
  • Working with the Administration supervisor develop plans to ensure all administration resource is cross trained ensuring all staff can perform all basic functions.
  • Contribute to the overall contract objectives and targets.
  • To carry out all tasks with due regard to the contract specification, the Company's policy and procedures and all current legislation.
  • To ensure all office equipment is in good working order and to report all faulty equipment immediately.
  • Ensure confidentiality, privacy and dignity is always maintained in accordance with the Data Protection and in line with Company and NHSL policy, where appropriate.
  • Conduct yourself in a professional manner whilst on NHSL and Company premises.
  • Participate and conduct, as required, in regular team meetings, performance reviews, job chats, return to work discussions and accident and other investigations.
  • Engage in the process to identify your own personal development and training needs and attend agreed training programmes.
  • Any other duties as may be reasonably requested within the grade of the post.
