Hours: 17.5 hours per week**
Contract: Permanent

This vacancy is only open to North Somerset Council employees and agency workers contracted to North Somerset Council.


North Somerset Council Integrated Transport Unit are looking for customer focused Fleet Administrator to support and co-ordinate the administration of the Fleet Department working alongside the Fleet Manager and contractors, in the purchase, maintenance and upkeep of fleet (vehicle and plant).


Duties include arranging maintenance inspections (PMI's), MOT's and repairs/ servicing needs which will require effective communication between our suppliers and client/teams.

You will work within our already well-established Integrated Transport Unit (ITU) based at Castlewood, Clevedon (or operational base(s) within the county to ensure fleet operation is compliant, safe and meeting the standards set by the Fleet Manager.


Responsibilities:


  • Assisting in maintaining Fleet Database and KPI system including scheduling vehicle maintenance, MOT, service and safety inspection appointments, with particular knowledge of FleetCheck Fleet Management Software (or other relevant systems).
  • Assisting in maintaining driver compliance systems with particular knowledge of industry bases systems such as Quartix, LicenceAssured and Myfleetlive systems.
  • Overseeing insurance claims, contact and liaising with insurance repairers and NSC Insurance Management.
  • Assisting in maintaining NSC's Corporate Travel Management Software
  • Click Travel.
  • Liaising with various suppliers to the Fleet department such as hire companies, fuel card, fuel bunker, EV Charging Network providers through to vehicle manufacturers main dealers, with particular knowledge of the back office systems Instavolt, Radiusvelocity and Tecalemit.
  • Communicate effectively with other departments to ensure the efficient running of the Councils Fleet of vehicles.
  • Preparing fleet analysis and reporting results to ITU senior management.
  • Collating all the relevant vehicle paperwork and taking an active, supporting role within projects as instructed by Fleet Manager

  • Proven experience in a fleet environment with previous experience within a similar role.
  • Able to work at pace in a fastmoving environment and to deadlines.
  • Selfmotivated, proactive, flexible and reliable.
  • The ability to recognise problems and deal with them in a speedy and efficient manner.
  • Forward thinking and able to use own initiative.
  • Able to drive and move vehicles within the service yard and/or delivery to external providers/teams.
  • A competent level of IT literacy with effective communication/literacy skills.
  • Excellent organisation and time planning skills with an attention to detail.
  • Ability to work efficiently in a busy environment.
