Role Purpose
Collaborating within The FM team, the Facilities Assistant is to embody and deliver our 5-star experience with energy, passion and presence to all guests in our client location Reading (RG1).
Reporting into the Facilities Manager this important position sets the tone of the flow of the reception experience by creating the first human touchpoint impression with consistent, joyous and courteous moments.

- Provide an exceptional guest experience to all colleagues and guests visiting Reading
- Have total ownership of the reception, mailroom, couriers and logistics, and the surroundings areas to ensure the best customer experience
- Fostering and living a team spirit culture attending any meetings to ensure all departments are communicating about key events and working in collaboration.
- A purposeful personalisation when serving guests is where the magic happens
- To be fully conversant with the inbound/outbound shipping system and Checkin procedures and assist staff with all logistics booking issues that may arise.
- Use operational knowledge of the reception to provide swift resolution to any challenges experienced by guests or colleagues.
- To build and maintain excellent working relationship with the building security team to ensure seamless transition of staff and visitors between the two areas.
- Maintain personal awareness of all site and team protocols, embracing and implementing new procedures swiftly when received from Senior Management
- Ensure that absences from the reception desk are managed so that the desk is never unattended. Provide cover during times of absence, both planned and unplanned
- Ensure prompt and seamless handover of information and special requests/requirements between team, and updating of the service request tickets system
- To ensure hosts are contacted and informed of their guest's arrival in a timely manner.
- Collaborating with IT, maintenance, cleaning and other key departments to ensure timely reporting and closing out of tickets and jobs
- Work closely with the other supply partners for any requests to ensure a one team approach across the contract
- Understand, anticipate and exceeds customer needs while building effective relationships and utilising moments of truth
- Liaising with client on a variety of matters and attending to their needs whilst maintaining a strong working relationship
- Run reports as required and produce any documentation regarding FoH Services operation as per the management requirements.
- Manage, track and own all post room and courier activity within the site.
