HR supports the employee life cycle within an organisation, whilst also ensuring company culture, business requirements and legal requirements are met.

The role of the HR Generalist will be to support the administration of the HR department, whilst also managing specific HR projects, with a specific alignment to supporting education.


This role is based onsite at our ACM Guildford campus in Guildford town centre with some ad-hoc travel to other campuses in London and Birmingham as needed.

This role will be full time, 40 hours per week, with standard working hours being 8am to 4pm, 9am to 5pm or 10am to 6pm.

MAIN RESPONSIBILITIES:


  • Recruitment_
  • Raise Authority to Recruit forms for approval or refusal, act in consultation with line manager to ensure ATRs are of needed standard prior to going to HR Exec committee
  • Support managers in job description creation
  • Continuous review of the selection and recruitment processes
  • Providing training and coaching on shortlisting, selection and running a good interview
  • Managing recruitment agency relationships
  • Look to continuously improve the effectiveness of recruitment to ensure this is done right first time with robust hires and correct team fit guiding managers where needed to ensure they recruit the correct person for their teams
  • Look at the effectiveness of the current advertising sites to ensure good return on investment and value for money.
  • Onboarding_
  • Hold ownership of the onboarding process and the administration requirements relating to this
  • Assisting Managers in preparation for a new starter and ensuring they have prepared correctly. Proving guidance and training on onboarding where needed
  • Induction and Training_
  • Support in the delineation and provision of employee training sessions and training documentation
  • Ensure thorough training, induction, development plans are created and enacted
  • Raise training requests for approval or refusal
  • Present HR Specific training sessions using resources provided by the HR Manager
  • Holding over site of the induction process for all new starters guiding the line manager to hold ownership of the process
  • Complete a yearly review of the induction portal on CANVAS working with the IT and Safeguarding team and liaising with Digital Education
  • Education Specific HR Support_
  • Support the creation of tutor variable hours FTEs in line with costings and needs
  • Hold ownership of the Single Central Register (SCR) ensuring compliance and audit readiness
  • Holding oversight of tutor specific inductions and supporting line manager step by step through this
  • Running Wellbeing Meetings for Education Team Members (with adhoc support for nonteaching staff)
  • Providing advice on education probation and EDRs escalating where concerns are raised
  • Full ownership of administration of variable hours contracts temporary variation to contracts
  • Process Prohibition from Teaching Check renewals on a yearly basis
  • Arranging and minuting all EDR meetings for Education, compiling supporting documents and indexing for reference
  • HR Advisory_
  • Attend investigation meetings, providing advice and guidance to line managers as to how these should be conducted, acting as HR representation and note taking
  • Attend disciplinary meetings, where run by members of the Executive team, acting as HR representation and note taking
  • Attending consultation meetings where run by members of the Executive team, acting as HR representation and note taking
  • Attend noncritical health meetings, ensure notes are typed up, any adjustment agreements are tracked and any needed information shared with the HR Team
  • Write and send invitation to disciplinary letters and outcome confirmation letters following the formal HR processes
  • HR Projects_
  • Run HR Projects as directed by the HR Manager or Executive Chairman
  • Working on other Education specific projects as they arise
  • Supporting the Executive Team Members with specific projects, enquiries and processes
  • Administration_
  • Write and send training agreements in line with agreements made by the HR Executive Team
  • Support in writing and sending the HR newsletter once a quarter
  • Payroll close down administration on an adhoc basis whereby cover is required for the HR Manager
  • Employee record upkeep e.g., DBS, RTW and other checks, employee role change.
  • Administration of contractual changes or creations
  • Administration of the company training portals (Canvas and Educare)
  • Employee engagement and benefit administration
  • Ensure the HR system (HRIS) is up to date
  • Other_
  • Provide guidance on staff resource planning and resourcing year guides (e.g. Learning support Assistants should be recruited in May time due to notice periods etc)
  • Develop and review staff supporting documents and resources
  • Recommend internal and external training programmes
