KEY DUTIES / RESPONSIBILITIES
1 Provide a secretarial and administrative support service to the Consultant and other team members to include routine secretarial duties.
3 Type discharge letters, outpatient clinic letters on a daily basis. Update PAS/PARIS system accordingly. Input information regarding ward attenders on the PAS/PARIS system ensuring all patient details contained are correct.
4 Deal with telephone enquiries from GPs, relatives, other professionals and patients.
5 Maintain diary for Consultant Psychiatrist.
6 To ensure no lost to follow ups and adhering to single point of entry pathways for all new referrals
7 Liaise with community staff and other support services.
8 Liaise with outpatient staff regarding organisation of outpatient clinics.
9 Type up reports and documents as directed by Consultant Psychiatrist.
10 Implementing Partial Booking process and management of Waiting Lists on PAS/PARIS.
11 Maintain an effective filing system for Consultants and ensure filing is kept up to date on a regular basis.
13 Participate in the agreed system of staff appraisal and personal development within the company.
14 Liaise with all disciplines of staff within the company as appropriate.
15 Dealing with sensitive information, and ensuring consent is always obtained before information is released.
16 Dealing with patients in a distressed state, over the telephone or in person, and handling appropriately in line with company Policy.
18 Liaise with Consultant and GPs regarding abnormal results.
19 Highlighting inconsistencies regarding Diagnostic Coding.
20 Liaising with Litigation Department regarding requests for patients' notes and photocopying notes as required.
21 Setting up ad hoc clinics / cancelling clinics on PAS/PARIS, as required.
22 Requesting X-rays / Scans results electronically from the NIPACS system / NIECR.
23 Obtaining blood results from the LABS system / NIECR and bringing it to consultant attention.
24 Record discharge files in accordance with company Policy and arrange transportation to Closed File Store. Arrange retrieval of files from Closed File Stores when required.
25 Undertake Staff Development and Performance Reviews for clerical and administrative staff and provide guidance on personal development requirements and initiate, where appropriate, further training.
27 The post holder may be required to rotate jobs within their location at this band.
28 The post holder may also be required to provide admin support for evening clinics.
29 Undertake any other ad hoc administrative and clerical duties, as may be required by the line manager from time to time.
Essential Criteria:
1. 1. HNC/HND or equivalent/higher qualification in an administrative field AND 1 years' experience in clerical/administrative role.
OR
4 GCSEs or equivalent at Grade C or higher, including English AND
2 years' experience in a clerical/administrative role.
OR
3 years' experience in a clerical/administrative role
2. 2. OCR/RSA/GCSE Stage 3 Word-processing/Typing (parts 1 & 2) or equivalent qualification
OR
An equivalent standard of word processing skills gained through a minimum of 1 years' word-processing experience.
- Experience of Microsoft office packages to include Word, PowerPoint and Excel
- Experience of minute taking and organising/servicing meetings preferable
OR
4 GCSEs at Grades A-C including English Language and Maths or equivalent/higher qualification AND 2 years' experience in a clerical/administrative role
OR 3 years' experience in a clerical/ administrative role
- Experience in the use of Microsoft Office products including Word, Excel, PowerPoint Shortlisting by Application Form
Desirable Experience:
- Experience of Medical Terminology.
- Working experience of PAS (Patient Administration System).
- Working experience of PARIS.
- Audio-typing Qualification/Experience. Shortlisting by Application Form
