Higher Level Secretary
The post holder will provide a comprehensive administrative and secretarial service to Service Line Managers, Assistant Service Line Managers, Medical Matrons and the wider team within the Division of Medical Services
Location:
Gateshead, Newcastle
Temporary:
Expected to last until the end of July 2023 with a possible extension
Hours / days:
Monday-Friday 9am to 5pm
Pay:
Up to £12.00 per hour PAYE inclusive of holiday pay or £13.50 Umbrella per hour
The successful role holder will be responsible for a wide range of administrative tasks and be able to
MAIN DUTIES
- To develop close working relationships with secretarial colleagues and other staff across the Trust and external agencies.
- To ensure that correspondence is handled sensitively and forwarded to the recipients as expediently as possible.
- Sorting, organising and distributing mail. Dealing with correspondence, including assessing the urgency of incoming letters and assessing the urgency of incoming calls.
- Prepare agendas, take minutes and circulate relevant documents for Service Line and other meetings.
- Provide comprehensive support to the SLM Service Line Managers/ Assistant Service Line Managers, Medical Matrons and wider team.
- To ensure all documentation for SLM Service Line Managers / Assistant Service Line Managers, Medical Matrons are comprehensively prepared for all forthcoming meetings.
- Provide a full range of Administrative and Secretarial duties.
- Prepare presentations using appropriate media, including PowerPoint
- To deal with audio dictation
- To maintain electronic diaries via appropriate liaison with relevant parties.
- Carry out appropriate and efficient housekeeping
- Provide and collate information to assist performance reporting and resolution for DATIX incidents/complaints as required by Service Line Managers, Assistant Service Line Managers and Medical Matrons.
- Main point of contact for third parties(e.g. clinicians) to resolve queries, respond to requests for information or notify third party of information as required.
- To participate, as required, in the arrangements for training / study leave, ensuring that the relevant documentation is processed and that all necessary practical arrangements are in place.
- Ordering stationary and equipment.
- Carry out a range of other administration duties such as photocopying, ordering stationary and equipment, maintaining stock levels.
- To use CareFlow to access patient information to respond to queries or collate information as requested by SLM, Matrons, Assistant SLM's and the wider team.
- To retrieve case notes and record their movement using the electronic folder tracking module (filefast)
- To be involving in ongoing training and development opportunities and contribute to your own personal development.
- To ensure that confidentiality is maintained at all times
